About the Role
We are seeking a highly organised, proactive, and tech-savvy Executive Assistant to support the CEO directly. This remote role requires exceptional communication skills, operational discipline, and the ability to manage a wide range of responsibilities with confidence and minimal supervision.
You will bring structure and clarity to the CEO's workday, ensuring their priorities, communication, and schedule flow smoothly. You will handle inbox triage, calendar oversight, travel logistics, permission and subscription management, departmental coordination, document organisation, SOP development, and the creation of an efficient EA-to-CEO operating rhythm.
This is a key strategic support role — not just administrative assistance. You will act as a force multiplier for the CEO, removing friction, improving flow, and ensuring that the organisation remains aligned and operationally strong.
Key Responsibilities
Inbox and Email Management
- Manage and prioritise the CEO's inbox, handle key communications, and redirect inquiries to the right teams.
Calendar and Schedule Coordination
- Maintain a unified calendar and ensure the CEO's schedule is well-organised.
IT and Access Management
- Oversee software permissions and manage staff subscriptions.
Travel Planning and Booking
- Arrange all travel logistics for business trips.
Conference and Presentation Support
- Prepare and submit presentations for speaking engagements.
Document and File Management
- Organise digital files and create standard operating procedures (SOPs) to ensure smooth operations. They must be comfortable developing and adhering to these systems.
Supporting Sales, Marketing, and Operations
- Provide admin support to multiple departments as needed.
Establishing a System of Collaboration
- Develop a fine-tuned EA-to-CEO working system, including regular check-ins and concise reporting, to keep the CEO organised and informed.
About You
You are an organised, detail-driven professional who thrives in dynamic environments. You value efficiency, clarity, and well-structured operations. You are comfortable supporting executives remotely, handling sensitive information with discretion, and proactively anticipating their needs.
You have:
- 3+ years of experience as an Executive Assistant, Operations Coordinator, or a similar senior-support role
- Excellent organisational and prioritisation skills
- Strong written and verbal communication abilities
- High proficiency with digital tools, cloud systems, and modern SaaS platforms
- Demonstrated ability to create, improve, and follow SOPs and standardised systems
- Ability to work independently and think several steps ahead
- High competency with AI tools (for summarisation, drafting, automation, etc.)
- Professionalism, confidentiality, and strong judgment
Bonus Points
- Experience with Microsoft 365, SharePoint, Google Workspace, AWS, HubSpot, or Jira
- Prior experience supporting C-suite leaders in a technology or software organisation
- Strong IT literacy, especially with managing permissions, tools, and subscriptions
- Experience assisting sales, operations, and customer-facing departments
- Experience coordinating travel-heavy schedules or conference participation
