We are seeking a highly organized and resourceful Executive/Administrative Assistant to provide direct support to senior leadership. This role is ideal for someone who thrives in a fast-paced environment, anticipates needs before they arise, and takes pride in keeping operations running seamlessly behind the scenes.

Responsibilities
  • Executive Support

  • Manage complex calendars and coordinate meetings.

  • Handle communications on behalf of executives, including emails, scheduling, and document preparation.
  • Prepare presentations, reports, and meeting materials.
  • Maintain confidentiality and handle sensitive information with professionalism and discretion.
  • Administrative & Operational Tasks

  • Maintain organized filing systems, records, and databases.

  • Process expense reports, vendor invoices, and other administrative documentation.
  • Support project coordination, tracking tasks, and following up on deadlines.
  • Serve as a liaison between executives, internal teams, and external stakeholders.
  • Communication & Coordination

  • Draft and proofread correspondence and internal communications.

  • Coordinate logistics for company events, board meetings, or team activities.
  • Ensure that daily priorities and long-term initiatives remain on track.
Qualifications
  • 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar support role.
  • Strong organizational skills with excellent attention to detail.
  • Exceptional written and verbal communication abilities.
  • High degree of professionalism, confidentiality, and discretion.
  • Proficiency in Microsoft Office or Google Workspace tools (Docs, Sheets, Calendar, etc.).
  • Ability to multitask and prioritize in a fast-moving environment.
Preferred Skills
  • Experience supporting executive-level leadership or cross-departmental coordination.
  • Familiarity with project management or CRM tools (Asana, HubSpot, Slack, etc.).
  • Previous experience in a remote or hybrid work setting.
