Virtual Rockstar is hiring a full-time Executive Assistant on behalf of our client — a purpose-driven physical therapy organization based in Utah. This is an exciting opportunity to support a passionate entrepreneur and clinician who is building a thriving, people-first practice dedicated to helping others live the life they've always wanted.

As the Executive Assistant, you'll serve as the organizational backbone of the business — managing the executive's calendar, emails, communications, and daily priorities. You'll streamline workflows, coordinate with the team, and support business initiatives through project tracking and administrative management.

In addition to traditional executive support, you'll also play a hands-on role in marketing and content production, helping the executive maintain a consistent online presence by pushing out video shorts, coordinating social media posts, and assisting with podcast content.

This is a dynamic and high-visibility position for a proactive professional who thrives on keeping things organized, anticipates needs before they arise, and enjoys working in a fast-paced, collaborative environment.

Responsibilities

Executive & Administrative Support

  • Manage and organize the executive's inbox; respond to emails and flag items that require follow-up

  • Maintain and update the executive's calendar, schedule meetings, and coordinate appointments

  • Prepare documents, reports, and presentations as needed

  • Serve as a communication bridge between the executive and internal team members

  • Track ongoing projects and ensure deadlines and deliverables are met

  • Assist with travel arrangements and itinerary management

Marketing & Content Support

  • Create and post at least two video shorts per week across the company's platforms

  • Collaborate with the executive and podcast editor to coordinate media content

  • Support marketing campaigns, social media engagement, and event promotion

  • Analyze engagement data and provide simple reports to measure performance

  • Manage and update Canva templates and visuals for content consistency

Operations & Reporting

  • Create and maintain basic reports using Google Sheets or Excel

  • Support data entry and analytics to help identify trends or areas for improvement

  • Document workflows and standard operating procedures (SOPs) to improve efficiency

Personal & Team Support

  • Help organize personal and professional appointments for the executive

  • Coordinate small events, home services, or special projects as needed

  • Provide ad hoc support to ensure smooth daily operations

Requirements
  • 2+ years of experience as an Executive Assistant, Administrative Coordinator, or Marketing Assistant

  • Strong written and verbal communication skills

  • Excellent organizational skills with the ability to prioritize multiple projects

  • Experience with or ability to learn:

    • Google Workspace, Canva, and social media platforms (Instagram, Facebook, YouTube)

    • Project management tools and CRM systems

  • Ability to edit short-form video content (e.g., reels or YouTube Shorts) or coordinate with editors

  • Tech-savvy and comfortable learning new tools quickly

  • Professional, reliable, and able to maintain confidentiality at all times

  • Proactive problem-solver with strong follow-through and accountability

  • Background in healthcare, wellness, or marketing preferred but not required
