Executive Assistant

The Executive Assistant will provide high-level administrative and executive support to the Directors and broader Executive Leadership Team, including the Business Development Manager and Corporate Services Manager. This position will be instrumental in ensuring the smooth operation of executive functions, with a strong focus on calendar, email, and task management. A proactive approach, strong communication skills, high attention to detail, and the ability to work with minimal direction are essential to success in this role.
Duties and Responsibilities
Provide executive support primarily to the Directors.
Manage complex calendars, coordinate meetings, appointments, and events across multiple time zones.
Monitor, organise, and manage executive email inboxes, triaging communications and ensuring timely responses.
Develop and implement efficient systems and processes for email and calendar management.
Act as a communication bridge between Directors and other internal stakeholders, ensuring information flows effectively.
Collaborate closely with the Corporate Services Manager to extract key details from Directors necessary for organisational support and task execution.
Maintain task and action registers, track deadlines, and follow up on outstanding items.
Assist with preparation of reports, presentations, and documents as required.
Ensure the smooth operation of day-to-day executive tasks with a proactive and solution-oriented mindset.
Support the executive team in adopting and utilising new task management software (e.g., Monday, Assignit), contributing to process improvement and digital transition.
Exercise sound judgment, discretion, and confidentiality in all aspects of work.
Provide support for ad hoc administrative tasks as required.
Contribute to a positive and collaborative team culture by being approachable, reliable, and proactive.
Qualifications and Attributes:
Proven experience in an Executive Assistant or similar high-level administrative role.
Exceptional organisational and time management skills.
Strong interpersonal and communication skills, both written and verbal.
High attention to detail and ability to manage competing priorities.
Demonstrated confidence in working with senior executives and managing executive-level tasks independently.
Demonstrate strong software fluency and the ability to quickly adapt to new systems and platforms.
Proficiency in Microsoft Office 365 and familiarity with task/project management software.
Ability to contribute to process development and continuous improvement initiatives.
A proactive and confident personality with the capability to work autonomously and take initiative.
