Job Description

We are seeking a Full-Time Remote Customer Service and Executive Assistant to support our client's Business Development and Operations teams. This long-term position is ideal for a motivated, detail-oriented, and tech-savvy professional who enjoys working independently while collaborating remotely across multiple departments.

The successful candidate will manage customer communications and administrative coordination through Zoho tools (Zoho Desk, CRM, and other Zoho business apps), while also supporting SOP development and process improvements to enhance efficiency and consistency across the organization.

Key Responsibilities:

Customer Service & Communication:

  • Handle customer inquiries via phone, email, live chat, and Zoho Desk ticketing system.
  • Maintain a professional, empathetic, and customer-focused tone in all interactions.
  • Manage and update CRM records in Zoho CRM, ensuring data accuracy and completeness.
  • Coordinate with internal teams (Sales, Logistics, Technical Support) to resolve customer concerns.
  • Track and report performance metrics such as response time, resolution rate, and satisfaction scores.

Administrative & Business Development Support:

  • Provide administrative assistance to Sales, Logistics, and Business Development teams.
  • Prepare and format quotes, proposals, and follow-up emails.
  • Support the creation and documentation of SOPs for Customer Service and administrative workflows.
  • Schedule and coordinate meetings, follow-ups, and internal task assignments.
  • Maintain digital files, trackers, and shared folders using Zoho WorkDrive.
  • Generate weekly or monthly reports, KPIs, and dashboards using Zoho Analytics.

Qualifications & Requirements:

  • Minimum 2 years of experience in Customer Service, Inside Sales, or Administrative Coordination roles.
  • Proven experience using Zoho tools (Zoho Desk, CRM, WorkDrive, Projects, or Analytics).
  • Strong communication and organizational skills.
  • Detail-oriented, proactive, and adaptable in a fast-paced environment.
  • Ability to work independently in a remote setup.
  • Background in Business Administration, Office Management, or Technical Studies preferred.
  • Reliable laptop/PC, stable internet connection, and backup power source required.
