Job Summary:

The Administrative Support Assistant will provide essential support to the Recruitment and Operations Manager, focusing primarily on recruitment, administration and general office tasks. This role requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

1. Recruitment Administration Support:

  • Assist in sourcing candidates via job boards and social media.

  • Help review resumes and schedule interviews with candidates and clients.

  • Maintain and update recruitment trackers and databases.

  • Coordinate interview logistics and follow-ups.

  • Support the preparation of job descriptions, interview notes, and offer letters.

2. Administrative Support:

  • Manage email correspondence and schedule meetings.

  • Prepare and organize reports, documentation, and files.

  • Assist in processing basic accounting entries such as invoices and reimbursements.

  • Monitor and order office supplies as needed.

  • Provide general administrative support to the team to ensure smooth daily operations.

3. Client and Team Coordination:

  • Help coordinate communication with clients when needed.

  • Support onboarding processes by preparing necessary documents and checklists.

  • Track and follow up on internal requests and pending tasks.

Qualifications:

  • Graduate of Business Administration, Human Resources, or any related field.

  • Atleast 6 month to 1 year in administrative support, recruitment assistance, or a related field is preferred.

  • Strong organizational and time-management skills.

  • Excellent verbal and written communication skills.

  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace; familiarity with recruitment platforms (e.g., Loxo, Indeed) is a plus.

  • Basic understanding of accounting processes is an plus.

  • Ability to handle confidential information with discretion.

  • A proactive attitude with the ability to work independently and as part of a team.
