Job Opportunity: Virtual Paralegal Assistant

We are seeking a highly organized, detail-oriented, and experienced Virtual Paralegal Assistant to support a sole practitioner startup law firm. This role is ideal for a dedicated professional who thrives in a dynamic environment and is committed to providing comprehensive paralegal and administrative support. You'll play a crucial role in ensuring the smooth operation of the practice, allowing the practitioner to focus on delivering exceptional legal services.

Requirements
Key Responsibilities
  • Client Intake & Triage: Handle incoming calls, conduct conflict checks, schedule consultations, and open new client matters.
  • Diary & Case Management: Maintain accurate schedules, track hearings, deadlines, and limitation/appeal dates to ensure compliance.
  • Document Preparation: Draft routine legal correspondence and forms, format affidavits/statutory declarations, and manage file indexing.
  • Court & Tribunal Lodgments: Manage e-filings with courts and tribunals, and coordinate the service of documents, interpreters, and transcripts.
  • Hearing & Brief Coordination: Compile court books/hearing bundles and arrange logistics for witnesses and legal counsel.
  • Specialized Legal Support: Prepare submissions, liaise with relevant agencies, super funds, and insurers.
  • Financial & Billing Support: Enter WIP records, prepare invoices, and assist with trust receipts/reconciliations (no payment authority).
  • Compliance & Administration: Ensure confidentiality, manage safe custody packets, archiving, email/matter hygiene, and precedent/template systems.
What We're Looking For
  • Proven paralegal or legal assistant experience (virtual experience highly regarded).
  • Strong understanding of legal processes and procedures (specialized knowledge in veterans' or superannuation law a plus, but not essential).
  • Excellent organizational and multitasking skills with keen attention to detail.
  • Proficiency with legal software, case management systems, and electronic filing platforms.
  • Strong written and verbal communication skills.
  • High level of discretion and commitment to confidentiality.
