Purchasing Assistant

The Purchasing Assistant is responsible for supporting the procurement team in acquiring goods and services necessary for company operations. This role ensures the timely and cost-effective purchasing of products while maintaining relationships with suppliers and monitoring inventory requirements.
II. Duties and Responsibilities
Procurement Operations
Prepare and process purchase orders based on operational needs and inventory requirements.
Coordinate with suppliers to ensure timely deliveries and resolve any order discrepancies.
Ensure that invoices are accurate and assist in facilitating timely payments to suppliers.
Inventory and Documentation
Place and reorder stock as necessary to maintain appropriate levels of inventory, ensuring alignment with weekly forecasts.
Manage and maintain purchasing documentation, including purchase orders, supplier agreements, and invoices.
Ensure compliance with procurement policies and maintain an organized database of transactions.
Administrative and Support Duties
Coordinate and update the scheduling of procurement meetings, ensuring that deadlines and priorities are clearly communicated.
Provide general administrative support to the procurement team and management as needed.
Occasionally perform fieldwork or external purchases as required, such as visiting suppliers, coordinating on-site deliveries, or sourcing specific items unavailable through regular suppliers.
