Procurement Assistant

Bachelor's degree in Business Administration, Supply Chain Management, Engineering or a related field is preferred.
Purchase Order Processing (using NetSuite)
- Prepare and process purchase orders accurately and efficiently within the NetSuite system based on approved requisitions.
- Ensure all necessary information is accurately entered into NetSuite, such as item codes, quantities, pricing, and delivery details.
- Track the status of purchase orders in NetSuite and follow up with suppliers to confirm receipt and expected delivery dates.
- Maintain organized electronic records of all purchase orders and related documentation within NetSuite.
Supplier Communication and Coordination:
- Serve as a primary point of contact for suppliers for routine inquiries and follow-ups.
- Assist in gathering quotations and proposals from potential suppliers.
- Coordinate with suppliers regarding delivery schedules, discrepancies, and other logistical arrangements.
- Maintain and update supplier contact information.
Record Keeping and Documentation:
- Maintain organized and up-to-date electronic records within NetSuite for procurement-related documents, including vendor information, price lists, and contracts.
- Assist in the generation of procurement reports and summaries as needed.
- Ensure accuracy and completeness of all procurement records.
Invoice Processing Support (using NetSuite):
- Assist in the reconciliation of invoices with purchase orders and delivery receipts.
- Liaise with the Finance department to resolve any invoice discrepancies.
- Ensure timely processing of invoices for payment.
Administrative Support:
- Provide general administrative support to the Procurement team, including scheduling meetings, preparing presentations, and handling correspondence.
- Manage office supplies for the Procurement department.
- Assist with the onboarding process for new suppliers.
Compliance and Policy Adherence:
- Ensure all procurement activities comply with ORCA's procurement policies and procedures.
- Assist in gathering documentation required for compliance audits.
Job Type: Full-time
Pay: Php18, Php23,000.00 per month
