Site HR/Admin Coordinator

HR responsibilities:
- Assists or communicate new/transferred employee for their location, service and schedule.
- Process employment requirements (Medical-Basic 5, NBI and RDT result) and ensure that the documents are secured and kept accordingly.
- Initiate the registration of site workers to biometric machine for time-keeping purposes.
- Checks and verifies Drivers Monitoring sheet prior submission to the Payroll Specialist for payment.
- Execute payroll cash disbursement.
- Knowledgeable in timekeeping
Admin responsibilities:
• Accommodation and Transportation Planning:
Work with the operations team to create site accommodation and transportation plans based on manpower requirements, ensuring all logistical needs are properly addressed.
• Accommodation Unit Sourcing and Coordination:
Search for suitable accommodation units, liaise with procurement, the property owner, and the administration department to process contracts and finalize arrangements for site personnel.
• Move-In Facilitation and Utility Monitoring:
Facilitate the move-in process for site personnel and continuously monitor the status of utilities, ensuring timely processing and payment of utility bills to avoid service disruptions.
• Rental Vehicle Coordination:
Coordinate the rental of service vehicles, ensuring that transportation requirements are met for the site team. Oversee the timely processing of vehicle rental agreements and ensure proper use and maintenance.
• Address and Escalate Accommodation and Transportation Issues:
Address any issues or concerns related to site accommodations or transportation, ensuring they are resolved in a timely manner. Escalate issues as needed to higher management or relevant departments for prompt resolution.
• Compliance with Company Policies:
Ensureall accommodation, transportation, and related administrative processes comply with company policies and industry standards. Monitor and enforce adherence to safety, operational, and legal guidelines.
