DUTIES AND RESPONSIBILITIES

Recruitment & Staffing

  • Develop and implement recruitment strategies
  • Prepare job descriptions and post job ads
  • Screen resumes, conduct interviews, and coordinate hiring processes.
  • Manage onboarding and orientation of new hires
  • Maintain and update the organizational staffing plan.

HR Policies & Compliance

  • Develop, review, and update HR policies and procedures
  • Ensure compliance with labor laws and regulations
  • Maintain employee handbook and ensure policy awareness.
  • Handle employee grievances and disciplinary procedures in accordance with legal standards.

Records & Documentation

  • Maintain and update employee records (digital and hard copies).
  • Manage HR database and generate reports (attendance, leave, attrition)
  • Keep confidential records in line with data protection regulations.
  • Prepare HR-related documents: contracts, letters, memos, etc.

Compensation & Benefits

  • Process payroll or coordinate with payroll master.
  • Administer benefits such as health insurance and bonuses.
  • Maintain leave records and manage leave policies (sick, annual, maternity/paternity).
  • Ensure accurate calculation of taxes and statutory deductions

Performance Management

  • Develop and monitor performance appraisal systems.
  • Assist managers in setting KPIs and goals.
  • Provide feedback mechanisms and performance improvement plans.
  • Track employee progress and career development.

Training & Development

  • Assess training needs across departments
  • Organize in-house or external training sessions.
  • Maintain training records and evaluate training effectiveness
  • Facilitate leadership and professional development programs.

Employee Relations & Engagement

  • Promote a positive workplace culture and employee morale
  • Organize team-building events, wellness programs, and employee recognition activities
  • Conduct exit interviews
  • Serve as a liaison between staff and management.

Administration

  • Oversee office supplies and inventory management
  • Supervise office maintenance and utilities
  • Coordinate travel arrangements and meeting logistics.
  • Ensure a clean and secure office environment
  • Ensure availability of adequate lighting, water, telecommunication, email,  computers etc.
  • Provide where possible, designated parking for vehicles.
  • In charge for the renewal of the following;

  • Business Permit ( Barangay Clearance, Fire Safety Inspection Permit, Sanitary Permit),

  • PDEA License (August) if needed
  • NWRB (every quarter pass water consumption – Pay Permit every November) (if needed)
  • Building Contract of Lease
  • DENR / Discharge Permit – LLDA (if needed)
  • PCAB Renewal (May)
  • AMO (Import Permit)
  • Supervise the company's vehicle fleet, ensuring proper scheduling, utilization, and maintenance.
  • Maintain records of vehicle registration, insurance, repairs, and fuel consumption
  • Coordinate with drivers for transportation and delivery needs.
  • Monitor and manage vehicle-related costs to ensure cost-efficiency.
  • Ensure all vehicles meet safety, legal, and compliance requirements.

Health, Safety & Welfare

  • Ensure workplace safety standards are met.
  • Implement health and safety policies and practices.
  • Report incidents and follow up on corrective actions.
  • Support mental health and employee wellness initiatives

Strategic HR Planning

  • Contribute to organizational strategy through workforce planning
  • Analyze HR metrics to support decision-making (e.g., turnover, absenteeism).
  • Participate in change management and organizational development initiatives.

HR Systems & Technology

  • Maintain HRIS (Human Resource Information Systems).
  • Automate repetitive HR/admin tasks where possible.
  • Ensure secure storage and backup of employee data.

Reporting & Audits

  • Prepare HR reports for management review.
  • Assist in HR audits and compliance checks.
  • Monitor KPIs and prepare HR dashboards.
