The Executive Administrative Assistant supports the Client Success Managers (CSMs) by handling key administrative and coordination tasks to ensure smooth daily operations. This role focuses on organization, communication, and process management to help the team deliver an exceptional client experience.
Key Responsibilities
Calendar and Schedule Management
- Manage and organize calendars, meetings, and coaching calls for assigned CSMs.
- Coordinate schedules to prevent conflicts and ensure efficient time use.
Inbox and Communication Management
- Monitor and organize CSM email inboxes to ensure timely responses.
- Prioritize messages, escalate urgent concerns, and maintain professional communication.
Client Records and Documentation
- Maintain and update client profiles in CRM systems and internal tools.
- Record meeting notes, progress updates, and follow-up actions accurately.
Internal Coordination
- Support CSMs in cross-department communication with teams such as Sales and Operations.
- Manage Slack channels, ensuring proper access, updates, and message tracking.
Onboarding and Offboarding Support
- Assist in coordinating onboarding and offboarding processes for new and existing clients.
- Ensure all steps are completed accurately and on schedule.
Tracking and Reporting
- Track client progress, engagement metrics, and deliverables.
- Prepare and update performance reports for leadership review.
General Administrative Support
- Organize files, schedules, and data for daily and weekly operations.
- Provide assistance on ad-hoc administrative projects as needed.
Skills and Qualifications
- Strong organizational and multitasking abilities.
- Excellent written and verbal English communication skills.
- Proficiency in CRM platforms (such as Follow Up Boss) and communication tools (Slack, Zoom, Google Workspace, etc.).
- Attention to detail and accuracy in managing client data and reports.
- Proactive problem-solving and time management skills.
- Ability to work independently while coordinating across teams.
- Adaptable to changing priorities and fast-paced environments.
