In this role, you'll serve as the hub of communication between engineers, technicians, and multiple departments—keeping work orders on track and ensuring timely follow-ups. You'll prioritize and schedule repairs and maintenance for our cafés and kiosks, prepare essential permits and materials, and maintain organized, accurate reports. If you're detail-oriented, proactive, and excited to help keep operations running smoothly, this position is a perfect fit.

Responsibilities:

  • Communicates with internal customers (operations) on repairs, maintenance, & special projects.
  • Receives internal customer concerns, prioritizes them based on importance, and provides timeline for concerns' resolution.
  • Manages and updates the Ticketing System for proper monitoring of concerns.
  • Provides feedback to customers about concerns' resolution through phone calls and messaging applications.
  • Manages deadlines and progress across the team to ensure that projects are delivered on time.
  • Coordinates work permit applications with operations and ensures that permits are readily available for repair or preventive maintenance schedule execution.
  • Assists in organizing third-party providers to deliver elements that can't be produced in-house.
  • Oversees resolution of concerns, making adjustments as necessary to ensure they are delivered according to specifications and standards.
  • Coordinates with the finance department on service provider payments & cost documentations.
  • Collects and analyzes feedback from customers to gauge satisfaction and success.
  • Creates required reports.
  • Performs other tasks as assigned by their immediate supervisor.

Qualifications and Requirements:

  • Graduate of Bachelor's degree in any discipline.
  • Preferably at least one year of administrative experience, handling work order and permit management for an engineering team.
  • Good interpersonal skills and able to communicate effectively in verbal and in written form.
  • Familiar with MS Office and Google Workspace - Excel Vlookup is a plus
  • Must be willing to work onsite six days a week at our head office in San Martin de Porres, Parañaque City.
  • Fresh graduates with strong academic background or active co-curricular activities are welcome to apply.
