The Dispatch Supervisor is responsible for overseeing the end-to-end receiving and dispatch operations to ensure the efficient, accurate, and timely movement of finished products from production to sales distribution. This role ensures compliance with company standards, ISO requirements, and operational targets while supervising manpower, coordinating with cross-functional teams, and implementing continuous improvements in dispatch processes.

Key Responsibilities:

  1. Manpower Planning & Supervision

  2. Plans, organizes, and schedules manpower requirements for receiving and dispatch operations.

  3. Provides leadership, training, and performance monitoring of dispatch personnel to ensure operational efficiency and compliance with company standards.

  4. Receiving & Inventory Control

  5. Ensures that finished products are accurately received from Production and Toll Manufacturers.

  6. Oversees proper allocation, storage, and issuance of products to salesmen in accordance with distribution requirements.
  7. Maintains accurate records of stock movement to support inventory accuracy and minimize discrepancies.

  8. Dispatch Operations Management

  9. Ensures dispatch schedules are met and target dispatch times for all districts are consistently achieved.

  10. Monitors dispatch activities and provides daily operational updates, ensuring proper turnover between shifts.
  11. Implements corrective actions to address delays, errors, or process gaps.

  12. Coordination & Collaboration

  13. Coordinates with Sales Administration, Marketing, and Production teams on matters related to dispatch and receiving operations.

  14. Serves as the point of contact for escalations and ensures smooth flow of communication across departments.

  15. Process Improvement & Compliance

  16. Initiates procedures, monitoring systems, and action plans to improve dispatch efficiency, accuracy, and cost-effectiveness.

  17. Reviews and ensures strict compliance with ISO standards and company policies.
  18. Ensures timely completion of checklists, monitoring documents, and all required reports related to dispatch operations.

  19. Reporting & Documentation

  20. Prepares and submits accurate, timely reports on dispatch and receiving operations for management review.

  21. Analyzes data and provides recommendations to improve productivity, minimize delays, and optimize resource utilization.

  22. Other Duties

  23. Performs other related tasks that may be assigned from time to time, following the necessary training and orientation.

Qualifications:

  • Graduate of any four-year Engineering course (or related field).
  • With at least 2 years of supervisory experience in warehouse and distribution operations.
  • Knowledge of ISO 9001, HACCP, and delivery logistics is an advantage.
  • Proficient in Microsoft Office applications (Excel, Word, PowerPoint).
  • Strong coordination, organizational, and communication skills.
  • Willing to work on shifting schedules and render extended hours when necessary.
