The Operations Supervisor is responsible for the comprehensive management of the company's day-to-day operations to ensure efficiency, accuracy, compliance, and service excellence. This role involves supervising operational processes, coordinating with clients to maintain strong business relationships, preparing and submitting detailed management reports, and ensuring the timely and accurate finalization of the Summary of Billings (SOB). The Operations Supervisor serves as the operational link between frontline activities and upper management, ensuring that all actions align with company policies, customer requirements, and strategic objectives.

Key Responsibilities

Operational Management

· Oversee and manage daily operational activities to ensure continuous workflow, timely deliveries, and compliance with service agreements.

· Plan, organize, and prioritize operational schedules to meet deadlines and client expectations.

· Monitor operational KPIs to identify areas for improvement and implement corrective actions.

Client Coordination & Relationship Management

· Act as the primary point of contact for assigned clients, addressing inquiries, resolving issues, and providing timely updates.

· Maintain positive working relationships to enhance customer satisfaction and retention.

· Coordinate with relevant departments to fulfill client requirements promptly and accurately.

Reporting & Documentation

· Prepare, consolidate, and submit daily, weekly, and monthly operational reports for management review.

· Maintain accurate operational records, logs, and documentation for compliance and audit purposes.

· Provide management with insights, data analysis, and recommendations to improve operational performance.

Approvals & Authorizations

· Exercise approving authority for operational transactions up to ₱30,000 in accordance with company policies.

· Review and provide final approval for the Summary of Billings (SOB) before submission to clients.

Coordination with Management

· Seek guidance and align operational strategies with the ORW General Manager.

· Participate in management meetings to discuss operational performance, challenges, and improvement plans.

Team Leadership & Compliance

· Supervise, guide, and mentor operations team members to ensure productivity, quality of work, and adherence to company standards.

· Ensure all team members comply with company policies, standard operating procedures, and safety guidelines.

· Conduct performance monitoring, coaching, and corrective actions when necessary.

Qualifications

· Bachelor's degree in Business Administration, Logistics, Operations Management, or related field (preferred).

· At least 3–5 years of progressive experience in operations management or supervision, preferably in logistics, transportation, or related industries.

· Strong leadership skills with the ability to manage teams effectively under pressure.

· Excellent communication, negotiation, and client-handling abilities.

· Proficient in MS Office applications and familiar with operations management software/tools.

· Strong analytical skills with attention to detail and problem-solving capabilities.

· High level of integrity, professionalism, and decision-making ability.
