Payroll and Finance Specialist

Job Summary
We're seeking a skilled and dependable Payroll and Finance Specialist to manage payroll operations, client invoicing, and financial reporting for a remote workforce. This role requires accuracy, organization, and strong communication, as you'll handle sensitive financial data and support team members across different time zones.
The ideal candidate is experienced in QuickBooks Online (QBO), proficient in Excel, and comfortable working on payroll and financial projections for a virtual team. Availability during Pacific Standard Time (PST) hours is required to respond to VA concerns in real time.
Key Responsibilities
- Payroll Management:
- Oversee and execute weekly payroll for all virtual assistants.
- Review and verify timesheets for accuracy.
- Address and resolve payroll discrepancies or disputes promptly.
- Client Invoicing:
- Prepare and send invoices accurately and on schedule.
- Track payments and follow up on overdue balances.
- Maintain organized records of billing and client communication.
- Financial Operations:
- Reconcile daily and weekly transactions in QuickBooks Online.
- Manage and reconcile credit card and bank transactions.
- Monitor daily cash flow and provide accurate weekly projections.
- Create and update financial models to support business planning and forecasting.
- Reporting & Coordination:
- Generate payroll summaries, financial reports, and budget forecasts.
- Collaborate with leadership and the bookkeeper to ensure accurate, up-to-date financial records.
Qualifications
Must-Haves:
- Excellent written and spoken English communication skills.
- Availability during PST hours to address payroll or VA-related concerns.
- Strong QuickBooks Online (QBO) proficiency.
- Advanced Excel or Google Sheets skills (data management, formulas, projections).
- Demonstrated payroll experience for remote or virtual teams.
Preferred:
- Experience managing invoices, reconciliations, and financial reporting.
- Familiarity with tools such as Asana, Hubstaff, or other time-tracking/project systems.
- Strong analytical and problem-solving abilities with a proactive mindset.
Schedule & Compensation
- Position Type: Full-Time, Remote
- Schedule: Monday–Friday, PST hours
- Compensation: Competitive; based on experience and skill set
Job Type: Full-time
Pay: Php Php550.00 per hour
Expected hours: 40 per week
