JOB PURPOSE:

The Administrative and Finance Officer is responsible for overseeing the administrative and financial operations at the construction site. This role ensures smooth site operations by managing documentation, financial records, procurement processes, and supporting communication between the site and main office. The officer will work closely with project teams, main office, and site supervisor to ensure compliance with company policies and regulatory requirements.

JOB RESPONSIBILITIES:

Administrative Duties:

Manage day-to-day administrative tasks on-site including documentation, correspondence, and filing.

Maintain accurate records of site activities, including attendance, work schedules, and site reports.

Maintain the audit of all materials daily and ensure they are accounted for

Coordinate communication between site staff and main office.

Organize and schedule meetings, site inspections, and ensure timely follow-up on action items.

Handle site logistics such as arranging transport, accommodation, and site facilities management to maintain a productive and well-functioning work environment.

Support HR functions on-site

Financial Duties:

Maintain accurate financial records including petty cash, invoices, purchase orders, and expense reports.

Track and report on site expenditures, ensuring proper documentation for audit purposes.

Support procurement processes by preparing purchase requests, following up with main office and verifying delivery of materials.

Assist in the preparation and monitoring of the site budget and cost control measures and T08X (site costs).

JOB MINIMUM QUALIFICATIONS:

  • Bachelor's degree or above (Accounting, Finance or related field)
  • 3 - 5 years' experience Admin and Finance role
  • Proficient in Microsoft Excel software programs
  • Detail oriented and able to multi-task efficiently
  • Strong understanding of financial reporting and regulations
  • Excellent organizational and time-management skills
  • Ability to work collaboratively with diverse teams
  • Meticulous and detail oriented
  • Excellent communication (written and verbal) and presentation skills.
  • Capable of working under minimal supervision and able to deliver outputs with good quality.
  • Has strong sense of ownership in deliverable preparation
  • Good team player
  • Able to work under pressure
  • Focused and goal-oriented

Job Type: Full-time

Pay: Php18, Php22,000.00 per month
