Job Summary

The US Payroll Accountant is responsible for processing and managing payroll for US-based employees, ensuring compliance with federal, state, and local regulations. This role maintains accurate payroll records, reconciles payroll accounts, and supports tax filings while serving as a key resource for payroll-related employee inquiries. The Payroll Accountant works closely with HR and Finance to ensure timely and accurate compensation.

Key Responsibilities
  • Process bi-weekly, semi-monthly, or monthly payroll for US employees in compliance with federal and state wage laws.
  • Maintain accurate payroll records including wages, deductions, benefits, garnishments, and bonuses.
  • Reconcile payroll registers, general ledger accounts, and payroll-related balance sheet accounts.
  • Prepare and file federal, state, and local payroll tax returns and ensure timely remittance of payroll taxes.
  • Stay up to date with IRS regulations, FLSA, and state-specific labor and tax laws.
  • Manage year-end payroll activities including preparation of W-2 and 1099 forms.
  • Ensure compliance with company policies and SOX/internal controls.
  • Assist with audits (internal, external, IRS, DOL) by providing payroll-related documentation.
  • Collaborate with HR on new hires, terminations, and benefit enrollments affecting payroll.
  • Address employee payroll inquiries regarding pay, deductions, and taxes.
Qualifications
  • Bachelor's degree in Accounting, Finance, or related field.
  • Minimum 2–4 years of US payroll processing and payroll accounting experience.
  • Strong knowledge of US federal and state payroll tax regulations.
  • Proficiency with payroll software (e.g., ADP, Paychex, Workday, Ceridian) and MS Excel.
  • Experience in payroll reconciliations and journal entries.
  • Strong attention to detail, accuracy, and confidentiality.
  • Excellent analytical, organizational, and communication skills.
Preferred Skills
  • Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is a plus.
  • Experience with multi-state payroll.
  • Familiarity with GAAP and accounting reconciliations
