Job Summary
The US Payroll Specialist is responsible for processing and managing payroll for US-based employees while ensuring compliance with federal, state, and local regulations. This role maintains accurate payroll records, reconciles payroll accounts, and supports tax filings while serving as a key resource for payroll-related employee inquiries. The Payroll Specialist works closely with HR and Finance to ensure timely and accurate compensation.
Key Responsibilities
- Process bi-weekly, semi-monthly, or monthly payroll for US employees in compliance with federal and state wage laws.
- Maintain accurate payroll records, including wages, deductions, benefits, garnishments, and bonuses.
- Reconcile payroll registers, general ledger accounts, and payroll-related balance sheet accounts.
- Prepare and file federal, state, and local payroll tax returns, ensuring timely remittance of payroll taxes.
- Stay up to date with IRS regulations, FLSA, and state-specific labor and tax laws.
- Manage year-end payroll activities, including preparation of W-2 and 1099 forms.
- Ensure compliance with company policies and SOX/internal controls.
- Assist with audits (internal, external, IRS, DOL) by providing payroll-related documentation.
- Collaborate with HR on new hires, terminations, and benefit enrollments that affect payroll.
- Address employee payroll inquiries regarding pay, deductions, and taxes.
Qualifications
- Bachelor's degree in Accounting, Finance, or a related field.
- Minimum of 2–4 years of US payroll processing and payroll accounting experience.
- Strong knowledge of US federal and state payroll tax regulations.
- Proficiency with payroll software (e.g., ADP, Paychex, Workday, Ceridian) and MS Excel.
- Experience in payroll reconciliations and journal entries.
- Strong attention to detail, accuracy, and confidentiality.
- Excellent analytical, organizational, and communication skills.
Preferred Skills:
- Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is a plus.
- Experience with multi-state payroll.
- Familiarity with GAAP and accounting reconciliations.
