Property Manager / Administrative Assistant (Full-Time and Part-time)

This is a full-time and part-time position combining property management duties with essential administrative support.

Key Responsibilities

You will be the central coordinator for our properties, tenants, and contractors, ensuring everything runs seamlessly.

Tenant & Customer Service Excellence

  • Tenant Relationship Management: Utilise our property management software, Arthur, to promptly address all tenant issues and queries, maintaining excellent relations via the platform, WhatsApp, and phone.
  • Short Let Management: Oversee all aspects of short-term rentals, including managing booking site queries (e.g., Airbnb), arranging guest check-ins, creating dedicated customer service chat groups, and generating accurate financial statements for tenants and landlords.
  • First Point of Contact: Professionally answer and direct inbound calls from tenants, contractors, and clients, resolving issues where possible or efficiently escalating them to the relevant team member.

Operational & Maintenance Coordination

  • Order & Maintenance Tracking: Arrange, monitor, and ensure the timely completion of all maintenance and service orders within Arthur, including bi-weekly cleaning schedules and coordinating contractor access with tenants.
  • Contractor Coordination: Actively follow up with contractors to maintain strict schedules for property repairs, maintenance, cleaning, and professional photography.
  • Utility & Council Liaison: Resolve property-related issues swiftly and efficiently by contacting and liaising with energy, water companies, and the local council.
  • Procurement: Manage the purchasing of replacement items and ensure all properties are consistently stocked with necessary maintenance and supply essentials via platforms like Amazon.

Administrative & Financial Support

  • Financial Administration: Organise and process service company payments, meticulously maintaining a system of receipts and financial documentation within Arthur for seamless access by the bookkeeper.
  • Listing Management: Ensure all property listings on platforms like Rightmove, Hoopla, and Airbnb are accurate, current, and engaging.
  • Leasing & Compliance: Assist in the creation and management of property contracts and paperwork for tenant move-ins and move-outs.
  • HMO License: Coordinate and manage the application and ongoing compliance requirements for HMO (House in Multiple Occupation) licenses.
  • Pricing Management: Research and adjust property pricing using our dedicated software to optimise rental income.

Skills & Qualifications

We are seeking a candidate who excels in both people skills and meticulous organisation.

Essential Skills
  • Exceptional Communication: Strong verbal and written proficiency in English. You must be comfortable and professional in high-volume phone and digital communication with a diverse group of clients, tenants, and contractors.
  • Attention to Detail: Absolute accuracy in all documentation, financial tracking, and client communication is non-negotiable.
  • Proactive Problem-Solving: A clear enjoyment of identifying issues, taking full ownership, and driving a solution from start to finish.
  • Reliability & Organisation: Highly dependable with excellent time management and the ability to prioritise a diverse workload independently.
  • Tech Proficiency:

  • Proficient in Microsoft Excel (data tracking, reporting) and PowerPoint (professional presentations).

  • Familiarity with CRM systems to track interactions and improve client service.
Preferred Experience (A Strong Plus)
  • 1–2 years of relevant experience in Property Management or a related administrative field.
  • Direct experience with Property Management Systems (e.g., Arthur) or similar software.
  • Experience managing bookings and guest communication on platforms like Airbnb or
  • Experience with workflow/project management tools like or basic understanding of process automation.

Compensation & Working Details

Work Schedule (Full-Time)
  • Schedule: Wednesday to Sunday
  • Time: 11:00 AM–8:00 PM London time (GMT)
Salary & Benefits (Full-Time)
  • Salary: PHP 30,000 – PHP 40,000 monthly, commensurate with experience.
  • Bonuses: Performance-based bonus structure.
  • Benefits: 13th-month pay, 18 paid Philippine public holidays, and overtime pay at 1.5x the normal hourly rate.
Part-Time Opportunity
  • Schedule: 3 to 4 days per week (Specific hours TBD).
  • Salary: Competitive hourly rate based on experience.
