We are seeking a highly organised, proactive, and detail-oriented Virtual Assistant to support a Queensland-based real estate agent. This role requires excellent communication skills, strong attention to detail, and the ability to manage multiple tasks in a fast-paced property environment. You'll be handling day-to-day administrative, marketing, and client service tasks, enabling the agent to focus on sales and building relationships.

Key Responsibilities

1. Administrative Support

  • Manage the agent's calendar, appointments, and reminders.
  • Prepare and format real estate documents, contracts, and agreements in line with QLD legislation and agency templates.
  • Maintain and update the CRM (Property Me).
  • Track listings, sales, and settlement milestones.

2. Marketing & Online Listings

  • Create, edit, and upload property listings on real estate portals (e.g., , Domain).
  • Coordinate photography, floor plans, and copywriting requirements.
  • Prepare property brochures, flyers, and social media graphics using Canva or similar tools.
  • Schedule and post marketing content on Facebook, Instagram, and other platforms.

3. Client Communication

  • Respond promptly to buyer and seller enquiries via email, phone, and social media.
  • Send follow-up emails and SMS to nurture leads and maintain relationships.
  • Coordinate property inspections and open home schedules.

4. Transaction Coordination

  • Assist with contract administration from offer to settlement.
  • Liaise with solicitors, conveyancers, building inspectors, and other stakeholders.
  • Track deadlines and ensure all compliance requirements are met.

5. Reporting & Data Management

  • Maintain lead and pipeline reports.
  • Monitor property marketing performance and provide weekly updates.

Skills & Qualifications

Essential:

  • Experience in real estate administration or as a VA for a real estate professional.
  • Strong English communication skills (written & spoken).
  • High-level organisation and time management skills.
  • Proficiency with Microsoft Office/Google Workspace and CRM systems.
  • Basic graphic design skills (Canva or equivalent).
  • Ability to work autonomously and meet deadlines.

Desirable:

  • Familiarity with QLD real estate processes and forms (REIQ contracts).
  • Experience with real estate CRMs such as AgentBox, VaultRE, Rex, or PropertyMe.
  • Social media marketing experience.

Working Hours & Compensation
  • Hours: Flexible, with some alignment to AEST business hours required.
  • Salary: Competitive – based on experience and skill set (PHP or AUD equivalent).
  • Work Setup: Remote – must have reliable internet connection and backup.
