Duties and Responsibilities:

  1. Recruitment and Talent Acquisition

    • Spearheads timely provision of both current and future manpower requirements according to the approved organizational chart and submitted Manpower Requisition Form (MRF) of the department/business unit.

    • Ensures hiring of qualified candidates for the company by conducting initial interviews and background checks.

    • Prepares and submits Recruitment Weekly Report to the Assistant HR Manager.

    • Maintains and updates applicant database to ensure manpower pooling is adequate to the current and future manpower requirements of the company.

    • Conducts salary negotiation with the successful candidate.

    • Checks completeness and correctness of the submitted pre-employment requirements of the successful candidates prior to onboarding.

    • Checks the accuracy of the prepared Job Offer and probationary employment contract prior to the approval of the Assistant HR Manager.

    • Ensures that all new employees have TIN registration upon hiring.

    • Ensures that email credentials, office equipment, company ID, Company Handbook, and other onboarding perks have been released or issued to the new employees.

  1. Employee Onboarding and Integration

    • Conduct new employee orientation.

    • Ensures completeness of the onboarding documents before conducting orientation for new hires.

    • Introduces new employees within the organization and endorses them to the immediate head to be onboard.

  1. Compensation and Benefits

    • Ensures accuracy of the employee details such as personal details, salary, allowance, designation, and other pertinent employee details in the Enterprise Resource Planning (ERP) system.

    • Ensures timely reporting of the new employees with Philhealth and Social Security Systems.

    • Checks proper utilization of leaves and timely updating in both the Leave Monitoring Report and ERP System.

    • Checks timely and accurate submission of DOLE-related reports such as, but not limited to, Termination Report, Annual Wage Report, and 13th Month Pay Report.

    • Verifies accuracy and timely payment of monthly government premium and salary loan with SSS, PhilHealth, and HDMF.

    • Ensures timely loan set-up for salary deduction of all employees with account payables.

    • Schedules notification (through lay-off paper) and discussion of fixed-term employees with the Assistant HR Manager or HR Manager, regarding their end of contract.

    • Ensures that regularization employment contracts and contract extensions are served on time with the concerned employee.

    • Ensures precise and timely submission of timekeeping documents and other payroll-related document with Accounting & Finance Department, for both direct-hired and outsourced employees.

    • Conducts exit interview and ensure completion of employee clearance prior to the release of the final pay.

    • Review computed sick leave cash conversion prior to submission with the Assistant HR Manager.

    • Monitors timely conduct of the Annual Physical Exam (APE) of all employees.

    • Computes performance-based bonuses and salary increases based on the annual performance review.

    • Liaises in the different government-attached offices such as, but not limited to, SSS, PhilHealth, HDMF, and DOLE.

  1. Performance Management

    • Monitors timely and/or plotted performance evaluation of all employees.

    • Checks the accuracy and correctness of the tabulated performance evaluation results.

    • Checks memorandum of promotion, lateral transfer, and merit increase prior to the approval of the Assistant HR Manager.

  1. Training and Development

    • Ensures compliance in all government-required trainings.

    • Schedules, assists, and liaises for employees who need training, whether in-house, public or private entities trainings, related to their jobs.

    • Facilitates training and monitors training effectiveness.

  1. Employee Relations

    • Issues disciplinary memos on policies relating to time and attendance and/or any matters that affect employees and their performance in the company and conducts counseling to improve the employees' attendance and punctuality.

    • Issues Notice to Explain (NTE) and Notice of Decision (NOD).

    • Attends and participates in Administrative Hearing as one of the panels, and provides feedback on the matter.

  2. Employee Culture and Engagement

    • Assists in the preparation of all company-initiated events such as, but not limited to, travel incentives, team-building, and year-end party.
