GENERAL DESCRIPTION
Operations Manager oversees the daily workings of warehouse and inventory operations. He / She plans, manages, and implements schedules to ensure deadlines are met, and maintains a high-quality standard of product production and delivery. He / She is responsible for ensuring and improving the performance, productivity, efficiency and profitability of departmental and organizational operations through the provision of effective methods and strategies.
An Operations Manager is responsible for increasing the efficiency of a business' products and services. For this reason, Operations Managers maintain discipline among the employees and motivate them to improve their output. Operations Manager deals with the queries and grievances of customers of the company, related to the products and services offered. Their direct responsibilities include but not limited to managing both the operations process, embracing design, planning, control, performance improvement, and operations strategy.
Job Qualifications
- Candidate must possess at least Bachelor's/College Degree in Business Management or in any closely related field.
- With at least 3-5 years of experience in the operations field
- Excellent leadership skill is required. He/she has to be able to motivate employees at all times.
- Good analytical skills are required for tackling problems that may come up on a daily basis.
- Proficient written and oral communication skills
- Ability to build relationships & work collaboratively with clients and organizational peers.
RESPONSIBILITIES
Admin
- Responsible for planning of daily operations.
- Manage timely data collections to updated operations metrics to achieve productivity targets, eliminate errors, and deliver excellent customer service.
- Supporting better management reporting, information flow and management, business process and organizational planning.
- Develop and implement operational policies and procedures to improve efficiency and productivity.
- Ensure all administrative functions, including documentation, compliance, and reporting, are executed properly.
- Lead, mentor, and develop supervisors in purchasing, inventory, and warehouse operations.
- Resolve conflicts and operational challenges to ensure a positive and productive work environment.
- Continuously assess and improve processes to increase efficiency, reduce costs, and enhance service quality.
- Ensure full compliance with company policies, government regulations, and industry standards.
- Communicates with all concerned departments to ensure delivery times are met.
- Plans, schedules, and reviews workload to make sure targets are being met on a cost-effective basis.
- Maintain accurate and clear documentation for operational procedures and activities.
- Ensure team follows standard operating procedures for all operational functions.
Warehouse and Inventory
- Supervise the stock control, and checks that inventory records are accurate.
- Organizes, plans, and implements inventory activity.
- Forecasting demand to ensure the right products are available at the right time
- Supervise the warehouse supervisor to maintain optimal stock levels, preventing overstocking and stock shortages.
- Implement and oversee inventory control measures to minimize discrepancies, losses, and wastage.
- Ensure inventory records are updated accurately in the system, with regular audits to verify stock levels.
- Coordinate with sales, purchasing, and warehouse teams to align inventory management with operational needs.
- Implement best practices for stock handling, storage, and movement to ensure product integrity.
- Investigate and resolve discrepancies in inventory records and ensure corrective actions are taken.
- Supervise the Warehouse Supervisor to ensure efficient storage, handling, and dispatch of goods.
- Develop and enforce warehouse procedures to improve workflow, reduce errors, and maintain a safe working environment.
- Oversee logistics operations to ensure timely and cost-efficient delivery of goods.
- Monitor and evaluate transportation and delivery processes to enhance performance and reduce costs.
Purchasing
- Supervising the procurement of daily operations.
- Supervising identified potential suppliers that can meet the company's quality, cost, and delivery requirements.
- Evaluating supplier performance based on factors like delivery timeliness, quality of products, and service reliability.
- Oversee purchasing activities through the Purchasing Supervisor to ensure cost-effective procurement of goods and services.
- Establish and maintain strong relationships with key suppliers and vendors to ensure favorable terms and smooth transactions.
- Ensure procurement activities comply with company policies and industry regulations.
- Address supplier-related issues, such as delays, quality concerns, or disputes, in a timely manner.
Logistics
- Coordinating the movement of raw materials and products through the supply chain.
- Ensuring the efficient procurement of goods and materials.
- Managing relationships with suppliers and vendors to ensure timely deliveries and quality of goods.
- Managing the movement of goods from warehouses to distribution centers and ultimately to customers.
- Choosing and managing transportation partners (e.g., shipping companies or freight carriers).
- Planning and optimizing routes for cost-effectiveness and efficiency.
