Procurement Assistant

A Procurement Assistant supports the procurement department in sourcing, purchasing, and managing supplies, equipment, and services needed by the organization. The role ensures that procurement activities are carried out efficiently, accurately, and in compliance with company policies.
Key Responsibilities
- Assist in sourcing suppliers and obtaining quotations for requested items or services
- Prepare purchase orders and ensure accuracy of order details (pricing, quantities, specifications)
- Coordinate with suppliers on order status, delivery schedules, and follow-ups
- Maintain and update procurement records, vendor lists, and price databases
- Monitor inventory levels and support replenishment scheduling
- Review invoices and delivery receipts for accuracy before forwarding for payment processing
- Support procurement officers in evaluating vendors based on quality, price, and reliability
- Ensure compliance with procurement procedures and documentation requirements
- Assist in preparing procurement reports and summaries when needed
- Provide general administrative support to the procurement team
Skills & Qualifications
- Strong organizational and administrative skills
- Attention to detail and accuracy
- Good communication and negotiation abilities
- Basic knowledge of procurement processes or supply chain operations
- Proficiency in MS Office applications (Excel, Word)
- Ability to multitask and work with minimal supervision
