Key Responsibilities:
Executive Support
Manage and coordinate the executive team's calendar, appointments, and meetings, ensuring effective use of time.
- Prepare meeting agendas, take minutes, and ensure follow-up on action items.
- Prioritize and manage multiple projects and tasks, ensuring deadlines are met.
- Handle confidential information with discretion and professionalism.
Operational Coordination
Facilitate communication between executives, teams, and external stakeholders.
- Assist in the preparation of reports, presentations, and business documents for internal and external meetings.
- Organize travel arrangements, accommodations, and itineraries for executives as needed.
Communication Management
Act as a liaison between senior leadership and other departments, clients, and stakeholders.
- Draft and proofread emails, correspondence, and other written communications.
Respond to phone calls, emails, and inquiries on behalf of the executive team.
Administrative Support
Provide general administrative support, such as managing office supplies, maintaining filing systems, and handling data entry tasks.
- Coordinate company events, meetings, and offsite retreats, ensuring all logistical details are handled seamlessly.
Business Development & Strategic Planning
Assist executives with research and data collection for new business opportunities, market trends, and competitor analysis.
- Support with the preparation and follow-up on strategic partnerships, investor relations, and funding efforts.
- Maintain and update databases, client contact lists, and financial records.
Qualifications:
- Graduate of Bachelor's degree in Business Administration, Office Management or other relevant courses.
- Minimum of 3 years of experience as an Executive Assistant, preferably in a startup or multi-industry environment.
- Has strong organizational skills and the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong attention to detail and problem-solving skills.
- Ability to maintain confidentiality and work with sensitive information.
