Job Description

As the Onboarding Specialist, your primary role will involve serving as a project manager and ensuring clients feel supported from the very start. You will guide them through every phase-from onboarding and integration to training and technical setup-building trust and setting them up for long-term success.

The Qualifications We Seek

  • At least 1 year of relevant experience

CRM Experience:

  • Experience working with CRM systems and Website CMS/Project Scoping
  • Experience with Eagle CRM and Vault CRM is an advantage but not required

Technical Skills in Website CMS, Prototyping, and DNS:

  • Strong background in managing website assets, domain configuration, and website architecture
  • Experience configuring and troubleshooting DNS and managing website build processes

Problem-Solving & Troubleshooting:

  • Strong analytical and proactive problem-solving skills

Organizational Skills:

  • Excellent time management and ability to juggle multiple projects simultaneously

Communication Skills:

  • Excellent written and verbal communication abilities
  • Able to simplify technical concepts for clients

Collaborative Attitude:

  • Positive, team-oriented approach with a willingness to assist others

Your Daily Tasks

  • Client Onboarding & Relationship Management: Be the main point of contact for clients, guiding them from the sales handover to the support team transition. This means providing a friendly, personalized onboarding experience-from setting up accounts to integrating systems and offering CRM training-while managing multiple clients effectively.
  • Website CMS Expertise: Provide hands-on guidance on using our in-house website content management system (CMS). You'll work closely with clients, training them on the CMS platform in a friendly and approachable manner to ensure they feel confident managing their websites effectively as they launch.
  • Website Prototyping: Guide clients through website prototyping to help them visualize how their website will look and function before it goes live. Work closely with web development teams to align client expectations with technical details, ensuring the transition to a live website is smooth and stress-free.
  • Domain Name System (DNS) Management: Use your technical expertise to help clients set up DNS, ensuring everything is configured correctly for their domain and website functionality. You'll assist in troubleshooting DNS issues, configuring domain records, and providing friendly technical support to resolve any website-related problems.
  • Project Management: Take ownership of the entire onboarding process, guiding clients from initial engagement to project completion. Stay proactive in managing client expectations, collaborating closely with internal teams like Agency Studio Web (our digital creation team), and ensuring projects stay on track. Your excellent organizational skills will help keep all milestones on target, making the process smooth and efficient for everyone involved.
  • Proactive Problem-Solving: Be curious and proactive, always looking to understand client needs and find solutions before challenges even appear. Use the available internal resources and tools to tackle client issues efficiently and make sure they feel supported every step of the way.
  • Support & Troubleshooting: Provide expert-level support in technical areas, especially around the CRM platform, CMS management, and MRI integrated products, ensuring clients receive quick and effective help whenever they need it.
  • Collaboration & Internal Alignment: Work hand-in-hand with different teams across the organization to ensure everyone is on the same page. This will help provide clients with a smooth, connected experience throughout their onboarding journey.
  • Process Improvement: Continuously look for ways to improve our onboarding workflows to make them more efficient and ensure clients are happy. Your ideas will directly impact how we provide our onboarding services in the future, helping us grow and improve together.
  • Team Support: Share your knowledge with your colleagues by offering friendly guidance, support, and hands-on training whenever they need it. Be approachable and ready to help others grow.
