Position: Virtual Executive Assistant

Location: Remote

Hours: Full-time (40 hours/week)

Rate: $4–6/hour

Role Overview: We are seeking a proactive, highly organized, and accountable Virtual Executive Assistant to support our CEO client. The ideal candidate is resourceful, forward-thinking, and able to anticipate needs before they arise. You will manage day-to-day execution, streamline systems, and provide reliable support so the executive can focus on top priorities.

Key Responsibilities:

  • Communication: Handle calls and emails with professionalism, drafting, prioritizing, and sending on behalf of the executive.
  • Calendar Management: Maintain conflict-free calendars at least two weeks ahead, protect focus time, and prepare briefs for all meetings.
  • Meetings: Prepare agendas, run meetings when needed, capture notes, assign tasks, and send timely recaps.
  • Travel: Plan itineraries with thoughtful consideration for time, convenience, and cost.
  • Project Management: Track deliverables, monitor risks, and present solutions with trade-offs.
  • Research & Reporting: Prepare concise briefs, pull data, and present actionable insights.
  • Systems: Maintain clean documentation, SOPs, and records in Notion and Google Drive.
  • Continuous Improvement: Identify gaps, streamline workflows, and implement solutions.

Qualifications:

  • Minimum 3 years supporting executives in a remote capacity.
  • Strong written and verbal communication skills, able to represent the executive's voice.
  • Mastery of Notion, Google Sheets, and Excel (including pivot tables).
  • Experience with travel booking and calendar management at scale.
  • Excellent organizational skills and ability to stay ahead of deadlines.Proactive, decisive, and solutions-oriented.
  • Real estate or property management experience is a plus.

Preferred Experience:

  • Background in real estate, entrepreneurship, or business operations.
  • Experience representing executives in external communication.Familiarity with Kajabi or similar platforms is a plus.

  • Always stay at least two weeks ahead on calendars, deliverables, and travel.
  • Anticipate questions and prepare answers in advance.
  • Create documentation and SOPs to minimize repeated questions.
  • Communicate with clarity, professionalism, and tact.
  • Take full ownership of execution and follow-through.

Job Type: Full-time

Pay: Php Php330.00 per hour
