Full-Time Virtual Assistant (Plumbing & Gas Company South Australia)

We are looking for a highly organised and proactive Virtual Assistant to support a Plumbing & Gas business in South Australia. This role requires strong communication skills, attention to detail, and the ability to work independently while keeping the business owner updated.

Responsibilities:

  • Answer inbound phone calls promptly and professionally, ensuring all client inquiries are captured and no opportunities are missed.
  • Book, schedule, and allocate jobs using ServiceM8, making sure the right technician is dispatched at the right time for smooth workflow and maximum efficiency.
  • Prepare invoices and follow up on outstanding payments to maintain healthy cash flow and accurate financial records.
  • Document SOPs and SWMS, keeping business processes well-structured and records properly organised for compliance and efficiency.
  • Prepare and manage business documentation to support compliance requirements and future business scaling.
  • Provide proactive administrative support across daily operations, adapting to the businesss evolving needs.
  • Submit clear end-of-day reports via WhatsApp and conduct beginning-of-day check-in calls with the business owner to review priorities and align on the days plan.

Preferred Qualifications

  • Experience as a VA or in admin support roles.
  • Familiarity with ServiceM8 (preferred, training can be provided) & Xero.
  • Strong organisational and communication skills.
  • Ability to work independently and manage multiple tasks.
  • Local knowledge of Adelaide and its suburbs to support staff dispatch and logistics.

Work Arrangement: Full-Time (40 hrs/week, remote)
