We're an Australian-owned company known for professionalism, attention to detail, and client-focused outcomes, and we're seeking a senior-experienced Customer Service Officer to join our growing remote team.

About the Role

This position suits a highly experienced Customer Service Officer who has worked with Australian or international clients and knows what it takes to deliver clear communication, polished documentation, and exceptional client coordination.

You'll play a critical role in supporting our Australian operations — managing client communication, preparing professional reports, tracking deliverables, and ensuring every client receives the WLSS standard of service.

Key Responsibilities

  • Serve as the primary point of contact for Australian clients via phone, email, and online meetings.
  • Schedule client work, service visits, and project deliverables with accuracy and urgency.
  • Prepare, write, and format professional reports, manuals, and client documentation using Microsoft Word, Excel, and Outlook.
  • Manage and update client interactions, tasks, and workflows through HubSpot CRM and Microsoft 365.
  • Draft structured and professional correspondence, proposals, and status updates.
  • Accurately follow processes, instructions, and service timelines while maintaining initiative.
  • Support the onboarding and implementation of clients into the WLSS SaaS platform.
  • Maintain organised digital records and ensure client information is current and compliant.

Skills & Experience

  • Minimum 5 years' experience working with Australian or international clients in a customer-facing or service coordination role.
  • Exceptional English communication skills — written and spoken, with a confident and professional tone.
  • Proven ability in report writing, document formatting, and structured communication.
  • Advanced skills in Microsoft 365 (Word, Excel, Outlook, Teams, SharePoint).
  • Hands-on experience with HubSpot CRM or similar customer management systems.
  • Excellent organisational skills and attention to detail.
  • Demonstrated ability to follow complex instructions while managing multiple priorities.
  • Reliable, proactive, and outcome-driven mindset.

Technical & Work Setup Requirements

  • Stable primary internet connection: Minimum 20 Mbps download / 20 Mbps upload.
  • Backup internet source: (e.g., secondary line or mobile hotspot).
  • Dedicated quiet home office with clear, professional headset and microphone.
  • Suitable desk setup for full-time remote work with consistent availability during shift hours.
