Job Description
As a Healthcare Scheduling & Recruitment Specialist, you will manage client schedules, support talent acquisition, and maintain compliance across operational processes. Your work ensures seamless service delivery, strong workforce readiness, and a consistent experience for clients and caregivers in a fast-paced home care environment.

The Qualifications We Seek
- 3-5 years of experience in recruitment operations, including scheduling and administrative support
- Proven ability to manage high-volume scheduling in a home care, logistics, or similar fast-paced environment
- Highly resilient and positive, with strong virtual communication skills
- Strong organizational and prioritization skills, with the ability to meet tight deadlines
- Logical and analytical thinker with accuracy and initiative under pressure
- Passionate about delivering high-quality service and client care
- Excellent communication skills with the ability to build rapport quickly
- Confident in identifying, addressing, and escalating compliance issues when needed
- Proficient in Microsoft Office and comfortable using databases and virtual tools
- Flexible, adaptable, and detail-oriented professional
Your Daily Tasks
The Scheduling Role
- Understand and build effective and efficient schedules around clients and Care Professionals.
- Prepare schedules that account for travel time, holidays, training, and cancellations.
- Respond promptly to schedule changes and coordinate with relevant team members.
- Match Care Professionals to new clients with the client services team and arrange introductions.
- Ensure client schedules align with their preferences, maintaining consistency in assigned Care Professionals.
- Build strong relationships with clients and Care Professionals to ensure positive experiences.
- Collaborate with the recruitment team to ensure sufficient staffing levels.
- Work with the Care Team to resource and schedule new and existing care packages promptly.
- Maintain accurate information in the electronic scheduling system.
- Perform other duties essential to successful business operations.
- Communicate and collaborate with the UK team via Microsoft Teams chat and video call.
Recruitment Administrator
- Manage all aspects of recruitment administration, ensuring compliance with regulations and standards.
- Proactively source candidates through advertising, social media, and community networks.
- Develop local recruitment pipelines and identify unique selling points to attract top candidates.
- Lead the initial screening process and coordinate face-to-face interviews.
- Maintain clear communication with candidates and ensure an engaging candidate experience.
- Manage onboarding processes, including eLearning, paperwork, and compliance documentation.
- Oversee DBS checks, references, right-to-work documents, and driver requirements.
- Maintain recruitment data accuracy using Smart Recruiters ATS.
Other Duties
- Perform compliance duties, including auditing daily care logs and medication counts.
