Senior Coordinator – Accounts Payable

About the role

We are seeking a Senior Accounts Payable Coordinator responsible for receiving and processing vendor invoices and bank transfer requests, as well as conducting expense compliance reviews.

Duties and Accountabilities

  • Ensure vendor invoices and travel & entertainment expenses follow the Grants of Authority approval process, are coded to the correct general ledgers or client/matter numbers, expensed in the appropriate month, and paid in accordance with payment terms.
  • Perform compliance reviews on travel & entertainment expenses, verifying documentation and approvals in line with company guidelines.
  • Process bank transfer requests, including obtaining foreign currency when required.
  • Assist with audits by preparing requested sample data for Tax and other departments.
  • Research and resolve routine internal and external inquiries concerning account status and communicate resolutions to the appropriate stakeholders.
  • Collaborate and communicate with Accounts Payable teams across multiple offices.
  • Assist in training new hires and documenting/improving accounts payable policies, procedures, and workflows.
  • Support process migration from local offices to Manila.
  • Help allocate invoices and expense reimbursements received from mailboxes and dashboards among team members.
  • Perform quality reviews of vendor invoices and expense reimbursements.
  • Carry out other duties as required by management.

Qualifications

  • Bachelor's degree in Accountancy or Finance
  • 3–5 years of accounts payable or accounting experience preferred
  • Experience in a BPO/Shared Services Organization is an advantage
  • Strong attention to detail and accuracy
  • Good communication skills in English, both written and verbal
  • Proficiency in Microsoft Excel
  • Ability to work under pressure with strong problem-solving skills
  • Highly motivated, organized, and a strong team player
  • Open to rotating shifts and weekend support
