Role Overview
About the Client:
The Client is a highly active entrepreneur managing three distinct business pillars: a Corporate and Personal Gifting Service, various Investing activities, and a pillar covering personal administrative tasks. The businesses are growing rapidly, with the gifting service alone seeing explosive growth and requiring immediate operational support. The Owner needs to delegate high-volume tasks to free up time to focus on strategic execution, client-facing work, and growth.
About The Role
We are seeking a Full-Time Virtual Executive Assistant to act as the Owner's direct partner and teammate. This role requires an independent thinker who is willing to take ownership of tasks across multiple companies and personal ventures. The VA must be prepared for a dynamic workload, ranging from periods of intense activity to standby duty, and should embody a long-term commitment to grow with the Owner's enterprises.
Key Responsibilities
Financial and Data Management
- Bookkeeping Support: Assist with financial data entry, working with software like QuickBooks (e.g., attaching checks, verifying documentation).
- Profit & Loss: Work up basic profit and loss sheets and various worksheets as requested.
- Invoice Verification: Double-check invoices and internal numbers to ensure they match accurately.
- Expense Tracking: Handle various administrative expense tasks, such as calculating mileage between locations.
Operational & Administrative Support
- Data Entry: Execute high volumes of essential data entry tasks into spreadsheets and internal systems.
- Correspondence: Manage high-volume emails and phone calls, responding to vendors, double-checking voicemails, and handling external communication.
- Gifting Service Support: Act as a liaison with vendors for the gifting service, managing communication and logistics to ensure execution and speed are maintained.
- Ad-Hoc Projects: Be ready to take on outside-the-box administrative tasks for multiple companies (e.g., gathering hotel options, compiling master lists, inventory tracking).
- Sales calls such as followups or dealing with vendors
Design and Logistics
- Design Support (Basic): Handle occasional light design tasks, such as applying logos to flyers, changing pricing, and sending files to printers.
- Travel/Logistics: Assist with research and booking logistics (e.g., booking hotels for personal or business travel).

- Executive Mentality & Autonomy: Must be an independent thinker and capable of taking ownership of projects, requiring minimal supervision to drive results. The goal is to act as a true teammate and partner to the Owner.
- Flexibility & Adaptability: Must thrive in a dynamic workload that ranges from intense activity to occasional standby/off-peak duty. The VA must be prepared for constant communication across time zones.
- Communication Style: Excellent phone and written communication skills are mandatory, as texting and phone calls will be the primary methods.
- Long-Term Focus: Seeking a long-term professional relationship who wants to grow with the Owner's multiple ventures.
- Trustworthiness: Must be highly reliable, as the role involves managing sensitive financial and operational data.
- Approach: Good tone, pleasant voice
Technical & Hard Skills
- Financial Administration: Proven ability to assist with Bookkeeping support (QuickBooks documentation, invoice verification) and tracking financial data (P&L sheets).
- Operations & Data Management: High proficiency in data entry and managing complex spreadsheets and lists (e.g., vendor comparisons, travel logistics).
- Digital Content Support: Ability to handle light design tasks (applying logos, adjusting flyers) and managing external vendor correspondence (e.g., printers, programmers).
- Software: Familiarity with QuickBooks and common data management tools is required.
