Position: Procurement and Canvassing Assistant

Reports to: OIC of Bids and Awards/ COO
Employment Type: Full Time
Probationary Period: Six (6) months
Work Arrangement: Onsite (Loyola Heights, Quezon City)
Duties and Responsibilities:
- Research products or services based on specifications provided by the purchasing team. Identifying potential suppliers, vendors, or service providers.
- Collect information on pricing, availability, and delivery timelines.
- Generating and processing purchase orders based on approved requisitions.
- Ensure accurate details on purchase orders, including quantities, prices, and delivery instructions.
- Organize and maintain purchase-related documents, invoices, and receipts.
- Keep records of correspondence with vendors and internal stakeholders.
- Continuously monitor market trends, price fluctuations, and industry developments. Provide information on cost-saving opportunities to the purchasing team.
- Assist in negotiating prices, terms, and contracts with vendors.
- Provide data and information to support negotiation strategies.
- Help maintain accurate and up-to-date purchasing records.
- Assist in ensuring that purchasing activities adhere to company policies and regulations.
- Keep updated on relevant industry regulations and compliance requirements.
- Participate in canvassing activities, which involve gathering price quotes and proposals from different vendors for specific goods or services.
- Communicate with vendors to gather quotes, negotiate terms, and request product information. Maintain professional and effective communication via email, phone, or in-person meetings. Continuously seek opportunities for professional growth within the field.
- Performs other tasks that may be assigned.
Qualifications:
- Must possess at least a Bachelor's/College Degree.
- Knowledge in the Information Technology Industry is preferred.
- Knowledge of the government bidding process is preferred but not required.
- Self motivated with willingness to take initiative and solve simple problems.
- Proficient computer skills (Microsoft Word, Powerpoint, Excel)
- Ability to multitask, prioritize and manage time efficiently.
- Accurate and precise attention to detail.
- Accounting acumen.
- Negotiation and business relation skills.
- Good verbal and written communication skills.
- Must be a Filipino citizen living in the Philippines.
Additional Requirements:
- Must be willing to report to our head office in Loyola Heights, Quezon City (near Ateneo De Manila University).
