Sales Executive Assistant – Part-Time Role

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative and operational support to a founder growing a premium coaching and consulting practice. This part-time role demands precision, initiative, and the ability to manage multiple priorities across time zones.

The right candidate will not just "follow directions," but will take the lead when necessary—especially in supporting the sales process, owning CRM activity, and helping the founder protect time and attention for the highest-value tasks. Prior experience growing a founder-led service business from the ground up is essential.

Key Responsibilities

  • Calendar Management: Maintain the executive's schedule, ensuring priority alignment and seamless scheduling across time zones. Proactively block time for strategic work, sales conversations, and business development.

  • Meeting & Communication Coordination: Schedule internal and external meetings, resolve conflicts, prepare reminders, and follow up on action items. Maintain high-touch communication cadence with clients and prospects. Embrace and acknowledge the adage that, "All sales proceed towards a sale based on verbal communication."

  • CRM & Sales Operations Support:
    • Maintain CRM data integrity (Zoho preferred), tag leads, track deal stages, and manage follow-ups.

    • Identify and surface warm leads from previous pipelines for re-engagement.

    • Support nurturing efforts for both new and existing leads, ensuring no valuable contact falls through the cracks.

    • Assist with network relationship mapping and maintain consistent outreach rhythms.

  • Sales Process Discipline:
    • Remind and guide the founder to stay engaged in high-value sales conversations.

    • Reinforce best practices: focus on ideal client profiles, reactivation sprints, and quality over quantity in outreach.

    • Create weekly or monthly snapshots of pipeline health and outreach cadence.

  • Presentation & Content Support: Create and refine client-facing decks, workshop materials, and written content from rough outlines or meeting notes.

  • Operational Logistics: Manage communications with vendors and ensure timely delivery of materials for speaking engagements or workshops.

  • Reporting: Provide weekly reports summarizing meetings, pipeline status, upcoming priorities, and task completion.

Qualifications & Ideal Traits

  • 3–5 years of experience supporting a C-level executive or founder, ideally in a consulting, coaching, or professional services firm.

  • Proven ability to work independently while helping a founder stay accountable and focused.

  • Strong familiarity with CRM systems (Zoho or ActiveCampaign preferred) and pipeline management.

  • Experience supporting early-stage B2B sales or founder-led growth environments.

  • Excellent written and verbal communication skills.

  • Meticulous attention to detail and follow-through.

  • Ability to build repeatable workflows that reduce dependency on the founder.

  • Strong presentation creation skills (PowerPoint, Google Slides).

  • Confident leading from the side—anticipating what needs to happen next and keeping things moving without being asked.

  • Tech-savvy and quick to adopt new systems and tools.

  • Applicants that are 35 years old and above are preferred.

Working Environment

  • Part-time: ~2 hours per day, with potential to increase as the practice grows.
