Responsibilities

We are looking for a highly organized, proactive, and detail-oriented Executive Virtual Assistant to support two executives. This role is essential for streamlining both professional and occasional personal tasks, helping each executive focus on their highest priorities without being bogged down by administrative details.

This remote role requires someone with excellent communication skills, tech-savvy problem-solving capabilities, and a genuine drive to enhance efficiency through organization and support.

The Executive Virtual Assistant will carry out the following responsibilities:

  • Review, organize, and prioritize inboxes to ensure timely attention to key emails.
  • Identify action items and generate tasks within platforms like ClickUp, AirTable and Zoho including summarizing important details.
  • Update executives on any previous day's progress, flagged items, and actionable recommendations for the day.
  • Manage scheduling requests, including organizing calls and coordinating meeting availability.
  • Conduct research and compile data, support lead generation, coordinate with the team, and prepare weekly sales reports and customer feedback updates.
  • Schedule client meetings and appointments, prepare meeting agendas and briefs, maintain and update CRM records, summarize meetings with minutes of the meeting (MOM), and organize follow-up tasks post-meeting.
  • Create concise reports or summaries from completed tasks, emails, or meeting notes i.e. start-of-day and end-of-day reports.
  • Acquire a thorough understanding of the company's products and services to effectively communicate their value.
  • Write articles based on customer inquiries that emphasize the features and benefits of products and services.
  • Provide troubleshooting assistance, manage software updates, and deliver technical support to clients.

Requirements

  • At least 3-4 years of proven work experience as an Executive Assistant supporting executives in a multinational environment
  • Experience managing high-volume email inboxes, task creation platforms, and calendars.
  • Strong intuition with the ability to make sound decisions independently.
  • Proactive communication skills to effectively convey information and collaborate with team members.
  • Proficiency in ClickUp is a must, while experience in Airtable, Zoho, and Xero Expenses is a plus.
  • Strong organizational skills and attention to detail, with the ability to manage competing priorities effectively
  • Proactive and self-motivated, able to anticipate needs and complete tasks with minimal supervision
  • Excellent written and verbal communication skills.
