We're a fast-growing SEO agency that helps moving and home service companies dominate online. From SEO and paid ads to social media, we drive measurable growth for service brands nationwide.
We're looking for a highly organized Assistant Project Manager to keep our client operations running smoothly. You'll be the behind-the-scenes maestro coordinating projects, managing tools and systems, supporting client meetings, and ensuring nothing falls through the cracks. This role is perfect for someone who thrives on organization, loves learning new systems, and wants to grow with a dynamic agency.
This is a full-time, remote position; however, you must be available to work US Central Time (9AM - 5PM CT), and English fluency is required.

Key Responsibilities
Client Support & Coordination
- Attend client meetings, take detailed notes, and add them to Clickup for team visibility.
- Send meeting follow-up emails summarizing discussions and outlining next steps.
- Organize and schedule client meetings using Calendly and coordinate across time zones.
- Build strong working relationships with clients through responsive, professional communication.
CallRail Management & Expertise
- Manage CallRail-related tickets and take appropriate action to resolve client issues.
- Set up and configure CallRail accounts for new clients.
- Become the go-to CallRail expert at the company (understanding the platform inside and out).
- Troubleshoot call tracking issues and ensure accurate lead attribution.
Project & Task Management
- Monitor and organize the ticketing system, creating new tickets for web developers and team members.
- Handle support emails and route requests to the appropriate team members.
- Manage domain expiration tickets and ensure timely renewals for client websites.
- Create city lists for clients, including data gathering and research (training provided).
- Track ongoing projects and proactively follow up on outstanding items.
System & Tool Administration
- Set up Trustindex accounts for clients to manage reviews and reputation.
- Maintain organization across 2 core email accounts (filing, deleting, prioritizing).
- Ensure all client information and project details are accurately logged in ClickUp.
Process & Documentation
- Follow established workflows and contribute ideas to improve efficiency.
- Document processes and create internal resources for team use.
- Stay on top of deadlines and proactively communicate any blockers or delays.
- Support general administrative tasks and special projects as needed.
Required Skills & Qualifications
Required
- 1–2+ years of experience in project coordination, operations, or agency support roles.
- Highly organized with strong attention to detail and ability to juggle multiple priorities.
- Excellent written and verbal communication skills — clear, professional, and timely.
- Comfortable learning new tools and systems quickly (we'll train you on what you need).
- Proactive mindset — you see what needs to be done and take initiative.
- Reliable internet connection and dedicated workspace for remote work.
- Comfortable using time tracking software to manage hours and productivity.
Preferred
- Agency experience (marketing, SEO, or digital services).
- Familiarity with ClickUp, CallRail, Google Sheets, or similar project management tools.
- Experience with Trustindex or reputation management platforms.
- Basic understanding of SEO concepts and terminology.
- Experience supporting client-facing teams in a fast-paced environment.
Compensation & GrowthCompensation is based on experience and offers strong growth opportunities as our agency continues to expand. This role is an excellent entry point into digital marketing operations with room to grow into senior project management.
