Job Overview:

We are seeking a highly organized and detail-oriented Administrative & Finance Coordinator to support our healthcare operations. This role involves managing appointment schedules, communicating directly with patients, maintaining accurate documentation, coordinating events, and handling financial administration tasks, including invoicing and reconciliation. Proficiency in Xero and the ability to manage digital platforms for document storage are essential.

Requirements

Key Responsibilities:

  • Scheduling & Communication: Manage appointments and coordinate patient communications, including responding to inquiries and providing general information.
  • Documentation Management: Accurately organize and maintain consent forms, including those for legal assessments.
  • Event Coordination: Conduct conference checks to ensure all logistical requirements are met.
  • Financial Administration: Process invoices, perform basic account reconciliations, and follow up on outstanding payments using Xero.
  • Platform Management: Maintain and oversee document organization across multiple digital platforms, ensuring all records are current and accessible.

Qualifications:

  • Proven experience in administrative or coordination roles, preferably in a healthcare or professional services environment.
  • Strong organizational and time-management skills, with the ability to handle multiple tasks efficiently.
  • Excellent verbal and written communication skills.
  • Proficiency in Xero is essential.
  • Experience with digital document management systems and online communication tools.
  • High attention to detail and accuracy in documentation and financial processing.
