We are seeking a detail-oriented and proactive Virtual Assistant to support our Australian accounting practice with both administrative and bookkeeping functions. You'll assist in managing client records, preparing proposals and invoices, ensuring compliance with Australian regulations, and supporting general practice operations using tools such as Xero, XPM, Ignition, ClickUp, SharePoint, and the ATO Portal.

You will work closely with practice managers to maintain accuracy, streamline workflows, and ensure timely completion of financial and compliance tasks for Australian clients.


Key Responsibilities

Client & Admin Support

  • Maintain and update client records in Xero, XPM, Ignition, and SharePoint
  • Prepare proposals and schedule invoices (one-off, instalment, or recurring)
  • Set up client workflows and internal task trackers (ClickUp, SharePoint)
  • Send Notices of Assessment and client communications via ATO Portal

Australian Compliance & Regulatory Support

  • Monitor shared mailboxes and manage ATO and ASIC correspondence
  • Prepare and lodge ASIC forms, company statements, and declarations of solvency
  • Coordinate billing confirmations and internal follow-ups

Finance & Bookkeeping

  • Perform daily bank reconciliations and manage general bookkeeping in Xero
  • Process accounts payable and receivable
  • Assist with pay runs, supplier invoice processing, and ad hoc payments

Administrative Tasks

  • Format documents, manage internal communications, and set reminders
  • Conduct online research to support client work or internal projects
  • Assist with basic photo or graphic edits (as needed)

About You
  • Minimum 2 years of experience in admin, bookkeeping, or virtual support (preferably within an accounting or tax firm)
  • Proficient in Xero and other cloud-based accounting tools
  • High level of accuracy, organisation, and attention to detail
  • Strong written and verbal communication skills in English
  • Independent, resourceful, and able to manage time effectively
  • Experience with ATO and ASIC portals is an advantage, but not essential

Bonus Skills (Nice to Have)
  • Experience supporting Australian tax lodgments and compliance processes
  • Familiarity with tools such as Ignition, ClickUp, and SharePoint
