We are seeking an experienced outsourced bookkeeper with comprehensive knowledge of the Australian taxation landscape to manage our financial records and ensure compliance with all Australian tax obligations. The ideal candidate will be proficient in Xero accounting software and have a proven track record in managing GST, PAYG, payroll tax, BAS lodgements, and annual compliance requirements.

Responsibilities

Day-to-Day Bookkeeping

  • Maintain accurate and up-to-date financial records in Xero
  • Process accounts payable and receivable transactions
  • Reconcile bank accounts, credit cards, and merchant facilities
  • Code and categorise transactions according to Australian tax requirements
  • Generate financial reports (P&L, Balance Sheet, Cash Flow)

Australian Tax Compliance

GST (Goods and Services Tax)

  • Calculate and report GST on sales and purchases
  • Ensure correct GST treatment for various transaction types
  • Maintain GST compliance for taxable, GST-free, and input-taxed supplies

BAS (Business Activity Statements)

  • Prepare and lodge monthly or quarterly BAS with the ATO
  • Ensure timely and accurate reporting of GST, PAYG withholding, and PAYG instalments
  • Reconcile BAS lodgements with financial records

PAYG (Pay As You Go)

  • Calculate and report PAYG withholding for employee wages
  • Process PAYG instalment calculations for business income tax
  • Ensure compliance with ATO payment deadlines

Payroll Processing

  • Process employee payroll accurately and on time
  • Calculate PAYG withholding, superannuation contributions, and other deductions
  • Ensure compliance with Modern Awards and Fair Work requirements
  • Process Single Touch Payroll (STP) submissions to the ATO
  • Manage leave entitlements and termination payments

Annual Compliance

  • Prepare and lodge Payment Summaries (if applicable)
  • Finalise Single Touch Payroll
  • Prepare end-of-year financial statements for accountant review
  • Reconcile and lodge Fringe Benefits Tax (FBT) returns if applicable
  • Coordinate with external accountants for income tax return preparation
  • Maintain compliance with annual superannuation obligations

General Financial Management

  • Monitor cash flow and flag potential issues
  • Assist with budget preparation and variance analysis
  • Maintain fixed asset registers and calculate depreciation
  • Process payroll tax returns where applicable
  • Ensure compliance with record-keeping requirements under Australian tax law

Requirements

Essential

  • 3–5 years of bookkeeping experience in the Australian market
  • Advanced proficiency in Xero
  • Strong knowledge of Australian taxation:
  • GST rules and regulations
  • PAYG withholding and instalments
  • BAS preparation and lodgement
  • Payroll tax obligations
  • Single Touch Payroll (STP)
  • Experience with Australian payroll processing including superannuation
  • Certificate IV in Accounting and Bookkeeping or equivalent
  • Registered BAS Agent (highly desirable) or working under one
  • Strong attention to detail and numerical accuracy
  • Excellent organisational and time management skills
  • Reliable internet connection and remote work setup

Desirable

  • Member of Institute of Certified Bookkeepers (ICB) or similar
  • Experience with multiple Australian accounting platforms
  • Knowledge of industry-specific compliance requirements
  • Experience with Xero Payroll, Xero Practice Manager
  • Understanding of Fringe Benefits Tax (FBT)
  • Exposure to business advisory or financial analysis
