Quezon City Central Post Office P, Philippines Facade Advertising Full time ₱220,800 - ₱276,000 per year

A. Timekeeping and Payroll

  1. Checks daily attendance of all personnel in the warehouse and head office and reports it to the Operations Manager/Finance Manager/HR Manager.

  2. Coordinates with the warehouses whenever an employee takes a leave or is absent from work to ensure that there is continuity of work and business operation.

  3. Receives and processes all timekeeping documents such as leave applications, overtime permits, change of shift, etc.

  4. Posts leave credits/availment to individual records of employees and officers.

  5. Summarizes annually the leave balance of employees in the excel file.

  6. Monitors tardiness and absences of employees monthly and issues memo to erring employee

  7. Prepares report and corresponding memo to Department Heads regarding problem employee/s with regards to attendance and punctuality.

  8. Maintains and files timekeeping records.

  9. Attends to queries of employees regarding timekeeping/benefits.

  10. Monitors the departmental overtime of each department/warehouse and compares these with approved monthly OT authorization.

  11. Receives OT request forms thru email and ensures that the form is completely filled out before endorsing it to the Management for pre-approval.

  12. Monitors that all OT requests are approved and that these are filed immediately or at the latest, the day after the actual OT, together with the accomplishment report.

  13. Ascertains the compliance with and implementation of timekeeping policies.

  14. Processes payroll of all employees

  15. Verifies and processes billings/payroll of security personnel.

B. Compensation and Benefits Administration

  1. Files applications for Tax Identification Number (TIN) and registers new employees to SSS/PAGIBIG/Philhealth.

  2. Prepares certification of premium payments for SSS/Pag-IBIG/Philhealth as requested.

  3. Maintains and safekeeps SSS / PAG-IBIG / Philhealth records/files.

  4. Files claims and documents with SSS, and makes follow-up for immediate release of SSS reimbursements.

  5. Processes/routes exit clearance; processes separation/final pay of resigned or retired employees.

  6. Prepares government reports monthly such as new hires for the month, resigned/separated employees and the likes.

  7. Remits SSS/Philhealth/Pag-IBIG contributions and loans.

  8. Acts as Liaison Officer to government agencies such as SSS/Philhealth/BIR/HDMF and the likes.

  9. Receives and processes cash advance requests of employees and forwards them to the Finance Manager for approval. Uploads the approved cash advances to the cash cards of employees.

  10. Ensures that all cash advances are deducted from employee's payroll every payroll cut off and ensures their full payment

  11. Issues certificate of employment to employees

  12. In charge of sourcing, selection and distribution of company uniforms.

C. Employee Relations/Company Activities

  1. Organizes and facilitates social and other company events.

  2. Drafts and Issues memo to employee who violates company policies and procedures.

  3. Receives incident report from department heads and conducts investigation and ensures that due process is being followed.

  4. Attends to employee's concerns and grievances. Ensures that the concern is properly addressed and reports it to the Management. Conducts employee counseling when the need arises.

  5. Issues memo on new policies to be implemented in the head office and personnel. Ascertains that new policies created are explained to the employees.

  6. Safekeeps files of memorandum/policies.

D. Other Personnel Services/Administrative Tasks

  1. Updates Bulletin Board.

  2. Schedules meetings as per instruction of Management. Ensures that all employees are present and prepares the necessary logistics prior to the meeting.

  3. Takes down and prepares minutes of general assemblies and meetings as needed.

  4. Monitors inventory and updating/printing of personnel forms.

E. Performs other functions that maybe assigned from time to time specifically in the areas of recruitment, training, employee relations, and other areas where he is needed.

Job Specification

  1. Bachelor's degree in Behavioral Science/Psychology or equivalent.

  2. At least (2) years work experience in all facets of human resources in compensation and benefits administration.

  3. Must be knowledgeable in labor laws

  4. Above average communication and interpersonal skills

  5. Team player skills

  6. Must be flexible, dynamic and result-oriented

  7. FRESH GRADUATE ARE WELCOM TO APPLY
