POSITION SUMMARY:
The Liaison Officer is responsible for coordinating communication and logistics between the organization and its external partners, clients, and stakeholders. This role also involves managing the delivery of goods or services to clients or designated locations, ensuring timely and accurate fulfillment. The Liaison Officer ensures smooth operations and positive relationships between the organization and its external parties.
ORGANIZATIONAL SETTING:
Reports to Managers, Department Head and Chief Operating Officer
Coordinates with personnel of assigned department and assigned client.
LIAISON OFFICER DUTIES AND RESPONSIBILITIES:
Communication & Coordination:
· Serves as the primary point of contact between the organization and external parties (e.g., clients, suppliers, government agencies).
· Facilitates clear and effective communication between internal departments and external stakeholders to ensure alignment of project objectives, deadlines, and requirements.
· Organizes and attends meetings with clients, stakeholders, or regulatory bodies to discuss progress, updates, and resolve any concerns.
Relationship Management:
· Builds and maintains positive, long-term relationships with clients, suppliers, and other key stakeholders.
· Addresses and resolves any inquiries, complaints, or conflicts in a timely and professional manner.
· Represents the organization in a professional manner during interactions with external parties and ensure that the company's interests are well represented.
Documentation & Reporting:
· Prepares reports, correspondence, and other relevant documentation regarding liaison activities and communications.
· Keeps detailed records of all correspondence, agreements, and meetings with stakeholders.
· Ensures accurate and timely reporting to management regarding liaison activities and external communications.
Compliance and Safety:
· Ensure that all deliveries comply with safety regulations and industry standards.
· Oversee the proper handling, packaging, and transportation of goods to minimize the risk of damage or loss.
· Ensure all required delivery documentation (e.g., shipping forms, delivery receipts) is completed accurately.
Position Requirements:
· Bachelor's degree in the field of engineering (Electrical, Mechanical, etc.) or in any field (preferably in Business, Public Relations, or a related field)
· At least 6 months of working experience as a Liaison Officer.
· Previous experience in customer service, logistics, or delivery role is an advantage.
