Job Overview

Titan Services Inc. is seeking a General Virtual Assistant (Admin VA) to provide high-level administrative and operational support for one of our valued clients. The successful candidate will be responsible for ensuring smooth day-to-day operations by managing communications, scheduling, document handling, research tasks, and project coordination.

This role requires excellent organizational skills, attention to detail, and the ability to handle multiple tasks while supporting both client and internal team needs. The ideal candidate is resourceful, proactive, and able to work independently with minimal supervision.

Key Responsibilities

The Admin VA will provide comprehensive administrative and operational support designed to improve efficiency, communication, and organization. Services may include, but are not limited to:

1. Inbox & Communication Management

  • Monitor and clean email inboxes, including executive and finance accounts.
  • Prioritize important communications and flag urgent matters for attention.
  • Draft, send, and respond to routine correspondence.
  • Create canned email templates for client issues and ensure timely communication.

2. Calendar & Scheduling Support

  • Manage calendars, schedule meetings, and block executive time.
  • Send confirmations, reminders, and follow-ups.
  • Coordinate logistics for internal and external meetings, events, and travel.
  • Prep agendas, pull KPIs, and prepare documents for meetings.

3. Document, File & Data Management

  • Prepare onboarding documents, contracts, invoices, and reports.
  • Upload, organize, and maintain digital files for accessibility and version control.
  • Pull reports on old systems, document reviews, and ensure client files are complete.
  • Call clients and gather necessary documents.

4. Operations & Project Coordination

  • Support recruitment tasks (sorting Indeed applicants, conducting initial screening calls, scheduling interviews).
  • Assist with contractor payments, procurement of supplies, and vendor communications.
  • Coordinate project timelines, ensuring task completion and workflow visibility.
  • Plan reviews, ensure documentation compliance, and manage SOP updates.
  • Assist with the Burma project and other client initiatives.

5. Research & Business Development

  • Research pre-made cabins and market opportunities.
  • Find potential buyers for trees or company assets.
  • Pull data and insights from old systems for client engagement.
  • Support sales and client success dashboards.

6. Event & Meeting Support

  • Produce presentations, reports, and materials for team and client meetings.
  • Manage engagement tasks such as gift card or meal order distribution.
  • Coordinate travel and accommodation bookings.

7. Client & Team Support

  • Act as a communication bridge between the client and internal team members.
  • Track quality assurance metrics and support client success initiatives.
  • Provide proactive problem-solving to ensure smooth daily operations.

8. Marketing & Creative Support

  • Manage light social media posting and marketing tasks.
  • Assist with book-related tasks (editing, sending information, coordinating with partners).
  • Send out communications about CaaS (Consulting as a Service) and other company offerings.
  • Work with RC to get vendor quotes.

Job Types: Full-time, Permanent

Pay: Php30, Php40,000.00 per month
