Position Overview
We are seeking a detail-oriented and organized Scheduling Assistant to join our team. The ideal candidate will be responsible for managing and coordinating schedules, appointments, and meetings for [specific department/team/individuals]. This role requires excellent communication skills, a proactive approach to problem-solving, and the ability to maintain confidentiality.
Key Responsibilities
- · Manage and maintain calendars for our delivery teams, ensuring all appointments are scheduled accurately and in a timely manner.
- Coordinate meetings, including preparing agendas, booking installs, and sending out invitations.
- Communicate with internal and external stakeholders to confirm appointments and meetings.
- Assist in prioritizing and rescheduling appointments as necessary, ensuring optimal use of time.
- Maintain an organized filing system for schedules, documents, and communication related to appointments.
- Handle travel arrangements and itineraries for staff as required.
- Assist with administrative tasks, including data entry and reporting on scheduling metrics.
- Stay updated on scheduling software and tools to improve efficiency
Qualifications
- Previous experience in an administrative or scheduling role preferred.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and scheduling software (e.g. Wike, Hubspot or Monday.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.
- Discretion and confidentiality in handling sensitive information.
Preferred Skills:
Familiarity with project management tools Wrike and Hubspot is a plus.
