The Client is seeking an organized and detail-oriented Finance and Operations Coordinator to manage various tasks across their financial, administrative, and operational functions.
This role is responsible for daily financial operations including transaction processing, bank reconciliations, AP/AR management, and regular financial reporting using Xero and Fergus. It also supports operational activities such as job lifecycle oversight, profitability analysis, scheduling insights, and maintaining resource records. In addition, the role contributes to client value by handling customer feedback, assisting with social media content execution, and routing inquiries.

Core Responsibilities
- Financial Management & Reporting
- Record all daily financial transactions (income, expenses, receipts) using Xero and our job-management tool Fergus.
- Perform timely bank reconciliations to ensure accuracy of all accounts.
- Manage Accounts Payable (enter vendor invoices, control payment scheduling) and Accounts Receivable (generate client invoices, track collections).
- Prepare weekly and monthly financial reports; assist management with budget-vs-actual variance analysis and other reporting.
- Identify and implement process improvements to enhance financial workflows, controls, accuracy, efficiency and profitability (for example: establish an annual budget).
Systems & Operational Control
- Oversee the job lifecycle using Fergus—from quotation through to final invoicing.
- Ensure final invoices reflect services provided and assist with job-profitability analysis and variance reporting.
- Maintain and monitor administrative records, including financial documentation for vehicle and machinery maintenance.
- Provide scheduling insights from Fergus to assist management with efficient staff and job scheduling.
Client Value & Support
- Collate and review customer feedback, provide insights to management.
- Review job photographs uploaded by field teams and select the best assets for social media use.
- Execute the pre-approved social-media content calendar (e.g., Instagram, Facebook): write engaging captions, schedule posts, maintain brand consistency.
- Route client inquiries or quote requests directly into Fergus.
Qualifications & Experience
- Proven experience (2+ years) in accounting and financial reporting, preferably in a small business context.
- High proficiency in Xero (cloud-based accounting software) — mandatory.
- Experience with a job-management system (like Fergus) or ability to quickly master new software and perform data extraction.
- Strong skills in Microsoft Excel (pivot tables, formulas) and ideally familiarity with data tools like Power Query or similar for reporting.
- Exceptional attention to detail and accuracy in all transactional processing and financial reporting.
- Self-motivated, disciplined, reliable; able to work remotely with a professional home-office setup and high-speed internet.
Job Types: Full-time, Permanent
Pay: Php50, Php55,000.00 per month
