To ensure accurate recording, monitoring, and reporting of company fixed assets, supporting compliance with accounting standards, audit requirements, and efficient asset management.

Duties & Responsibilities:

1. Maintain Accurate Asset Records

  • Record acquisitions, transfers, disposals, and adjustments in the Fixed Asset Register
  • Ensure proper tagging and documentation of all assets

2. Timely Asset Capitalization

  • Capitalize qualified assets within 3-5 business days of acquisition/payment
  • Coordinate with procurement and accounting teams to validate details prior to recording

3. Physical Asset Verification

  • Assist in periodic physical inventory counts of fixed assets
  • Reconcile results with the fixed asset register and investigate discrepancies

4. Depreciation Posting

  • Prepare and post depreciation entries accurately and on schedule (monthly/quarterly)
  • Reconcile depreciation schedules with the general ledger

5. Disposals and Retirements

  • Process and document asset disposals/retirements with proper approval
  • Update records to ensure compliance with audit and company policies

6. Compliance & Audit Support

  • Prepare reports and schedules for internal and external audit requirements
  • Ensure adherence to accountancy standards, company policies, and BIR regulations

7. Process Improvement

  • Recommend enhancement in asset management processes and controls
  • Support automation or system improvements related to fixed asset management

Qualifications:

  • Bachelor's degree in Accountancy, Finance, or related field
  • At least 1-2 years of experience in accounting or fixed asset management
  • Knowledge of accounting principles and fixed asset management practices
  • Proficient in MS Excel and familiar with accounting/ERP systems
  • Strong attention to detail, organizational skills, and integrity
  • Ability to work with deadlines and coordinate across departments
