Position Summary:

The Administrative Assistant – is responsible for providing comprehensive clerical and administrative support to both the Treasury and Purchasing functions. The role ensures proper documentation, accurate record-keeping, and timely processing of treasury transactions and procurement activities. This position contributes to efficient financial operations, compliance with company policies, and effective coordination between internal departments and external suppliers.

Key Responsibilities

Treasury Support:

  • Prepare, record, and file treasury-related documents such as vouchers, deposit slips, disbursement records, and receipts.
  • Ensure the safekeeping and confidentiality of treasury records and financial data.

Administrative & Clerical Duties:

  • Maintain an organized filing system (physical and electronic) for treasury and purchasing documents.
  • Draft and prepare correspondence, reports, meeting notes, and other related documents.
  • Manage schedules, appointments, and communication channels within the Treasury and Purchasing offices.
  • Coordinate document routing and approvals with other departments.
  • Maintain inventory of office supplies used within Treasury and Purchasing and process replenishment requests.
  • Perform other administrative duties as may be assigned by the Treasury Manager or Purchasing Officer.

Qualifications:

  • Education: Bachelor's degree in business administration, Accounting, Finance, or a related field preferred; vocational/associate degree holders with relevant experience will also be considered.
  • Experience: At least 0-1 year of administrative or clerical support experience, preferably in treasury, finance, or purchasing functions.
  • Technical Skills:
  • Proficiency in MS Office applications (Word, Excel, Outlook, PowerPoint).
  • Familiarity with basic accounting and purchasing processes.
  • Knowledge of ERP or accounting systems (an advantage).
  • Soft Skills:
  • Strong organizational and time-management abilities.
  • Excellent communication and interpersonal skills.
  • High level of accuracy and attention to detail.
  • Ability to multitask and prioritize workloads.
  • Discretion in handling confidential and sensitive information.
