Overview:

We are looking for a top-notch Clinic Administrative Assistant to join our growing Prosthetics & Orthotics and Rehabilitation team. This role is key to ensuring smooth day-to-day clinic operations while providing excellent service to our patients and healthcare professionals.

Key Responsibilities:

  • Manage and optimize appointment schedules for therapy and prosthetic/orthotic services.
  • Welcome and assist patients with professionalism and warmth.
  • Maintain accurate and confidential patient records in compliance with data privacy standards.
  • Prepare and monitor daily, weekly, and monthly reports (sales, expenses, inventory, PhilHealth claims).
  • Track inventory levels and coordinate timely purchase orders with suppliers.
  • Process and follow up on PhilHealth and private claim documentation.
  • Handle financial transactions including petty cash, check disbursements, and billing.
  • Coordinate with healthcare providers and internal teams to support clinical operations.
  • Ensure clinic cleanliness and strict adherence to health and safety protocols.
  • Support marketing efforts through social media content and promotional materials.
  • Perform other administrative tasks as assigned to support overall clinic efficiency.

Qualifications:

  • Graduate of any Business, Healthcare, or Office Administration course
  • With at least 1 year of experience in a clinic, rehab, or healthcare setting (preferred)
  • Familiar with PhilHealth processes, inventory tracking, and clinic operations
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal skills
  • Proficient in MS Office, Google Workspace, and clinic systems (MediPad is a plus)
  • Flexible, dependable, and can work with minimal supervision
