Role: Estimates + Inbox Coordinator (Remote — Philippines)

Company: Lousso Designs

Schedule: Part-time, 4 hours/day (20 hours/week)

Working hours: Must overlap with US Eastern Time (for handoffs + approvals)

Pay: $5/hour to start (with review after 30 days based on speed/accuracy)

Reports to: (Production Ops Lead)

What this role is

We're looking for a reliable, detail-oriented coordinator with furniture and interior design experience to keep prep estimate drafts, maintain a clean estimates pipeline and execute furniture work orders / Furniture CAD drawings. You will prepare everything so our team lead can quickly review and send professional estimates without delays.

Key Responsibilities

1) Inbox Triage + Coordination (daily)

  • Monitor a shared inbox and categorize messages (New Inquiry / Active Estimate / Awaiting Info / Approved Next Step / Production Question / Vendor/COM).
  • Draft replies using our templates.
  • Request missing information from clients (photos, measurements, fabric details, timeline).
  • Coordinate sending and correspondence regarding estimates and deposit completion.

2) Estimate Drafting + Packets (daily)

  • Build estimate drafts using our templates and pricing rules.
  • Assemble estimate packets (photos, scope notes, measurements, fabric info).
  • Flag unknowns/risks clearly before review.

3) Pipeline Tracking + Follow-ups (daily/weekly)

  • Maintain the "Estimates Pipeline" in status, next action, due date.
  • Schedule follow-ups for every estimate (using our cadence).
  • Keep records clean so nothing falls through the cracks.

4) Admin Support (as needed)

  • Upload and label files correctly.
  • Keep client/project information organized inside Monday.

5) Drafting shop drawings via AutoCAD and creating furniture work orders:

Success Metrics (KPIs)

You will report these weekly:

  • Inbox Response Speed: % of new inquiries responded to same business day
  • Estimate Draft Speed: % of estimate drafts completed within 24 hours of "Info Complete"
  • Draft Quality: # of drafts returned due to missing basic info (goal: trending down)
  • Pipeline Hygiene: % of estimates with "next action + due date" (goal: 90%+)
  • Follow-up Compliance: % of estimates with follow-ups scheduled (goal: 90%+)

Requirements

  • AutoCAD
  • Experience in Interior Design and Home Decor
  • Highly accountable
  • Excellent written English and professional tone
  • High attention to detail (numbers/specs/files)
  • Comfortable following checklists and templates
  • Reliable and proactive communicator
  • Able to work independently and ask smart clarification questions

Pay + Growth

  • $5/hour starting rate
  • 30-day review based on performance and reliability
  • Role remains part-time long-term (20 hours/week), with potential to add hours only if mutually desired.
