You'll be the operational backbone of our agency — building, organizing, and automating the systems that keep our team and client projects running smoothly.

Your main focus will be to structure our internal tools (mainly Notion and n8n) so that campaigns, client documentation, and day-to-day operations are efficient, trackable, and clear.

Key Responsibilities

  • Design and maintain our Notion workspace:
  • Create and optimize databases for clients, campaigns, angles, and performance tracking.
  • Implement templates for outreach documentation, onboarding, and reporting.
  • Ensure information stays structured, accessible, and up to date.
  • Automate workflows with n8n:
  • Build and maintain automations connecting tools like Google Drive, Folk CRM, Heyreach and Notion.
  • Set up triggers for campaign updates, new client onboarding, and reporting tasks.
  • Monitor and troubleshoot workflows to ensure reliability.
  • Streamline daily operations:
  • Clean up existing systems (Miro → Notion migration, file organization, etc.).
  • Document standard operating procedures (SOPs).
  • Ensure smooth collaboration between internal team members and clients.
  • Support client documentation:
  • Structure and update client profiles (ICP, pain points, USPs, outreach strategies).
  • Keep everything synced between Notion, automation flows, and campaign data.

Ideal Candidate

  • Strong experience with Notion (advanced database structuring, relations, templates).
  • Proficient with n8n (creating multi-step automations, connecting APIs, monitoring workflows).
  • Comfortable working with tools like , Folk CRM, Google Sheets, and Loom.
  • Highly organized and process-driven — enjoys turning messy setups into structured systems.
  • Communicates clearly and proactively — not afraid to suggest better ways to work.
  • Bonus: experience in marketing agencies or outbound/sales ops environments.

What Success Looks Like

  • Our client documentation is always up to date and easy to find.
  • Each campaign's status, channels, and messaging angles are clearly visible in Notion.
  • Repetitive tasks (like onboarding, updating reports, or syncing data) are automated.
  • The whole team knows where to look for information — and nothing gets lost in Miro or spreadsheets.
