We are looking for a Maintenance Support Officer who will be responsible for coordinating end-to-end maintenance activities for strata properties. This includes triaging after-hours calls, managing quotes and work orders, coordinating contractors, maintaining accurate records in Property IQ and ResVu, and ensuring timely updates to Strata Managers and councils. The role is operationally critical, especially for after-hours urgent response.

Qualifications and Attributes

• At least 2 years of experience in strata management or property management, or in a similar role
• Any relevant bachelor's degree
• Experience in strata property management in maintenance and accounts is required
• High attention to detail and accuracy in administrative tasks
• Strong organisational skills and the ability to manage multiple tasks simultaneously
• Excellent written and verbal communication skills, with the ability to interact professionally with clients and residents
• Proficiency in Microsoft Office applications and ability to learn new software quickly

Duties and responsibilities

• Answer after-hours calls, log issues, assess urgency, and initiate authorised urgent actions.
• Issue quote requests, follow up on pending quotes, check completeness, and prepare summary packs.
• Raise, track, and close work orders with complete documentation and contractor updates.
• Maintain update cadence, verify licences/insurances, and flag poor performance.
• Keep ResVu and Property IQ fully updated with clean, accurate data.
• Check quote alignment, match contractor details, and pass on Section 110 items.
• Manage calls, escalations, make-safes, and issue morning incident summaries.
• Maintain KPI dashboard and recommend workflow improvements.

You will be also assisting with:

• Receiving requests
• Issuing invoices for payment
• Checking payment received
• Ensuring s110 charges as per contract are paid
• Issuing s110 certificate
• Following up Settlement Agent for settlement advice
• Passing settlement advice on to Community Services Manager
• Adding new creditors into Property IQ
• Updating existing creditors if details change
• Invoicing on-charges to lot owners
• Invoicing on-charges to external parties (eg. builders/developers)
• Monitor the accounts inbox

This role is subject to a number of skills and possible online practical tests.

This position is an onsite role at our Pampanga office. Candidate must be willing to work on-site.
